knowmore is a nation-wide independent community legal centre providing free legal information, advice, representation and referrals, education and systemic advocacy for victims and survivors of child sexual abuse.

knowmore uses a multidisciplinary model bringing together lawyers, intake officers, social workers and counsellors, Aboriginal and Torres Strait Islander engagement advisors and financial counsellors to provide trauma-informed, client-centred and culturally safe legal assistance to clients.  Services are provided through a national phone line and face-to-face services in key locations, supported by a comprehensive program of outreach and community engagement across Australia.  knowmore currently has offices in Sydney, Melbourne, Brisbane, Adelaide and Perth..

About the Role

The main purpose of this role is to support the team by taking primary responsibility for answering the busy main office phone and carrying out administrative activities and other office support tasks for a very busy office.

This role reports directly to the Office and Administration Services Manager who has responsibility for the day to day management of the role.

This role does have a level of direct service delivery responsibilities, the person in this role will have contact with members of the public including existing knowmore clients, as the first point of contact on reception and answering the office telephone number. Therefore, it is expected that the person in this role will have a general understanding of knowmores work and of the needs of knowmore’s clients and act appropriately.  The administrative duties can be extensive and varied from booking hotels and flights to handling legal mail, therefore an applicant with an organized positive, can-do attitude is sought.

Duties and responsibilities

Duties and responsibilities are including but not limited to: 

  • Perform receptionist duties including taking primary responsibility for answering the main office phone (not telephone advice line), providing general information about knowmore, taking and delivering messages, welcoming clients in person, responding to and dealing with other visitors, deliveries etc.
  • General office duties including word processing, filing, scanning, photocopying, faxing, collecting and delivering mail, maintaining records of incoming and outgoing communications.
  • Provide support to the multi-disciplinary team as requested and provide back up to the Paralegals when necessary.
  • Manage and book all travel, flights and accommodation for staff. 
  • Provide support to the Finance team by preparing monthly credit card, cab charge, travel card and petty cash reconciliations. 
  • Take stock and arrange quotes and purchase of office equipment/stationary.
  • Facilitate room bookings, in house network meetings, assist with Skype and catering. 
  • Maintain all records at knowmore in accordance with policies and procedures, promptly, accurately and appropriately filing (electronic and hard copy) all records. 
  • Participate in induction process for new starters ensuring systems are ready for their first day.

Selection Criteria

  • Demonstrate a high level of attention to detail in administrative activities but especially in record keeping, data entry and filing.
  • Demonstrate experience in a similar role, which shows the ability to handle difficult situations with tact, discretion and empathy.
  • Maintain a flexible collegial and professional approach to working within a multi-disciplinary team both locally and nationally.
  • Maintain ability to work independently and also contribute positively as a part of a team.

Location, Hours and Pay Rate

  • This role is based in Brisbane
  • Part time hours (4 days per week – Friday is a must)
  • Ongoing contract - subject the funding of the knowmore service.
