About the opportunity

The Housing Services Assistant is an entry level position reporting into the Housing Services Manager that delivers a high level of client-centred services to our renters through day-to-day administration functions. The Housing Services Assistant is an on-site role supporting the Tenancy Mangers to provide general administrative assistance and effective and efficient management of tenancies and properties within the Launch Housing portfolio in accordance with the Residential Tenancies Act and Launch Housing policies, procedures and systems. The key responsibilities include liaising with our renters, internal and external partners and a range of other relevant stakeholders as required to perform the day-to-day administration duties associated with tenancy management.

1 full-time (1.0 FTE), permanent role available.1 part-time (0.8 FTE, 4 days a week), permanent role available.

What you'll be doing

  • Providing verbal and written responses to our renters and internal and external stakeholders.
  • Assisting the team with logging and managing maintenance.
  • Conducting key audits and overseeing key management.
  • Scanning and uploading documents.
  • Creating mail merges and mail outs to our renters.
  • Manage data entry tasks into our CRM
  • Compiling sign-up packs and other renter information.
  • Managing and organising our filing system.
  • Overseeing the VCAT Hub notifications.
  • Processing Bonds lodgement and claims.
  • Managing the registered and non-registered mail, including the team inbox.
  • Assisting the team with subsidy rent reviews.
  • Supporting tenancy teams with on-site administrative tasks.

What we're looking for (key selection criteria)

  • Excellent interpersonal and communication skills, both verbal and written.
  • Good customer / client interaction skills.
  • Accuracy in recording information.
  • Demonstrated successful experience in front-end service delivery.
  • Computer literacy consistent with contemporary Office systems.
  • Demonstrated administrative skills, including a high level of data accuracy and strong attention to detail.
  • Ability to work autonomously.
  • Ability and interest in establishing positive relationships with people of diverse backgrounds.
  • Well-developed organisational and time management skills.
  • Demonstrated commitment to the values of Launch Housing and our mission to end homelessness.
