The Operations Administrator plays a key role in supporting event coordination staff by managing project plans and ensuring tasks are executed efficiently. This role involves taking ownership of administrative responsibilities that directly contribute to the successful delivery of events.

ABOUT THE ORGANISATION

Lord Somers Camp and Power House is a small organisation with a big vision – to create a stronger, more inclusive society through service to others. Our services include many camps, programs and activities held in inner and outer Melbourne and Somers campsite in Victoria.

Underpinned by two major social enterprises (a large function centre in Albert Park and our fee for service School Camps in Somers) we are largely self sustainable in delivering volunteer lead camps and programs for a variety of communities.

KEY DUTIES

The Operations Administrator’s duties may vary depending on the specific needs of colleagues, volunteer staff and participants. Day to day duties may include but are not limited to:

  • Creating, maintaining and updating Eventbrite event pages
  • Monitoring project task progression, providing team members appropriate alerts when tasks are due or overdue
  • Answering inbound inquiries from members, volunteer staff, participants, stakeholders and public
  • Updating emailing lists and volunteer/participant lists including: learner registration in LearnWorlds, Hubspot member profiles, Operoo profiles as required
  • Facilitate online or over the phone payments for camps, programs and general donations
  • Maintain inventory of camp resources
  • Providing administrative support to CEO and Coordinators
  • Schedule emails for distribution
  • Schedule reports from databases like Eventbrite, HubSpot (including WWCC), LearnWorlds and Operoo to support volunteer staff allocations and information dissemination
  • Assist in project work to improve team processes
  • Upload social media posts when required
  • Collate articles for membership newsletter
