Applications are invited for the ongoing full-time role of Office Manager in the Office of Max Chandler-Mather MP. This role is based in Brisbane, QLD.

The Office Manager will ensure the efficient and effective running of the MP’s electorate office. As their highest priority, they will ensure that all constituents who contact the office receive an appropriate response and assistance in a timely fashion.

The role includes oversight of multiple budgets and bank accounts for the MP, and administration of all departmental and human resources paperwork for the MP and other staff. Responsibilities include booking most travel and accommodation for the MP and staff travel, as well as management of the MP’s diary.

The office manager will assess and respond to incoming correspondence from constituents, oversee assistance to constituents, and work closely with the Constituent Advocate on matters relating to NDIS, Centrelink and migration. The office manager will use databases including VoterID and will assist in the supervision of volunteers assisting with any element of the role.

Key Responsibilities include;

  • Manage the MP’s office, including reception, maintaining filing systems and email databases, budgets/finance and office equipment.
  • Diary management including running through all event invitations and requests with the MP.
  • Provide administrative assistance to the MP including appointments and diary management, travel and other ad hoc tasks
  • Oversight management of electorate accounts, Parliamentary finance systems and entitlements.
  • Manage and coordinate answers to all mail and email correspondence, including constituent enquiries.
  • Liaise with other Australian Greens Office Managers about administrative issues across the federal Greens team.
  • Handle sensitive and confidential information ethically and respectfully.

Applicants should possess the following skills and experience:

  • Ability to work as part of a small team, under time constraints and tight deadlines, with a high level of independence.
  • Highly developed written, verbal, organisational and interpersonal communication skills
  • Relevant qualifications and/or experience in office administration or accounting
  • Alignment with progressive Greens values and a commitment to making positive change, and ideally experience talking about Greens policies and priorities.
  • Sound knowledge of Australian Greens’ policies and experience communicating complex information into clear correspondence
  • Demonstrated experience of either constituent management or casework, diary management or budget management
  • Strong analytical skills and demonstrated capacity to comprehend complex issues, think strategically, solve problems and adapt to changing circumstances

Other desirable qualities:

  • Drivers licence and access to a car
  • Experience using VoterID, Nation Builder, or other data management systems
  • Experience using Google and Outlook systems

Employment Conditions

This position will be offered under the Members of Parliament (Staff) Act 1984, and employment conditions are outlined in the Commonwealth Members of Parliament Staff Enterprise Agreement 2020-2023, which include;

  • A salary of $80,757
  • Generous employer-sponsored superannuation of 15%
  • Relocation assistance, studies assistance and paid study leave may also be available (subject to eligibility requirements)
  • Ongoing training and professional development facilitated by the employment framework
  • This is an ongoing contract and will commence on the 3rd of July, but may be open to negotiation

A probationary period of three months will apply and may be subject to extension by a maximum of two months. All employees are expected to sign a confidentiality and code of conduct agreement before the commencement of their employment.
