About the role

Mind Australia offers a varied and diverse range of services within South Australia and Western Australia. These include psychosocial outreach support, housing and support services, transitional and care coordination-based support, transition from acute settings to community support, residential rehabilitation services for young people and adults, early intervention and prevention support for young people, and therapeutic services.

We are seeking a professional, self-motivated Administration Support Officer for a permanent, part-time (22.8 hours per week) role. You will provide high-level reception, client support, and administrative assistance to the General Managers and the team in South Australia, and remotely in Western Australia. Acting as the primary point of contact, you will manage client, family, carer, and stakeholder enquiries, provide information, book appointments, greet visitors, and deliver professional, timely administrative support to ensure the effective delivery and day-to-day functioning of our services.

Key responsibilities

  • Provide high level administrative support to the General Managers and the SA/WA Leadership team on a broad range of tasks in a timely, accurate manner.
  • Manage a range of administrative functions including IT services, incoming and outgoing mail, stationery and service supplies, equipment maintenance, and facilities management.
  • Perform reception duties including answering phones, emails, booking and confirming appointments.
  • Assist in administrative functions for meetings and events including scheduling, catering, developing, and disseminating agendas and minutes.
  • Perform timely and accurate data entry, analysis, and extract data to meet both internal and external reporting timelines.

What you’ll bring

  • Certificate IV in Business Administration and/or experience in administrative support in the health, medical or community services sector.
  • Significant experience in administrative support, reception, data entry and customer service.
  • High level organisational skills with demonstrated ability to prioritise, manage multiple complex tasks, work under pressure and meet deadlines.
  • Strong Microsoft Office and Excel skills
  • Experience in community services, mental health, disability, social welfare, housing, healthcare or government sectors is desirable.
