About the role

Headspace in partnership with Mind aims to promote and facilitate improvements in the mental health, social wellbeing and economic participation of young people aged 12-25 years residing in the Eastern suburbs. Services in this youth friendly space are delivered across four core streams - primary health care, mental health, alcohol and other drug (AOD) and social/vocational to improve access for young people to mental health programs.

We are seeking a professional, self-motivated Administration Support Officer for a permanent, full time opportunity to provide high level reception and administration support in the Box Hill area. You will ensure that headspace is perceived as youth friendly and welcoming in a role that is generally be the first point of contact with the public. This role is essential to support the delivery of front line care provided by a multi-disciplinary team. 

Key responsibilities

  • Reception duties including answering phones, booking and confirming appointments, and preparation of new client files.
  • Provide exceptional customer service to meet and greet young people, families, friends and visitors.
  • Provide information to young people and their families ensuring that all enquiries are dealt with in a confidential and sensitive manner.
  • Assist the Service Manager and provide administrative assistance including managing office systems, correspondence, accounts and billing, and database maintenance. 

What you’ll bring

  • Certificate IV in Business Administration and/or experience in administrative support in the Health, Medical or Community Services sector.
  • Strong Microsoft Office and Excel skills
  • Exceptional organisational skills, ability to work autonomously, and capable of demonstrating initiative and flexibility.
  • Demonstrated ability to develop and maintain effective working relationships
