Part-time (3 days per week) position based in Brisbane where you will work from home with the possibility of time in a share-office. Reporting to the Board Chair.

Purpose of the Role

To manage the operations of the Foundation, allowing the Board to achieve its strategic objectives by providing administrative and communications support to the Foundation to facilitate achieving a brighter future for Moreton Bay.

Responsibilities

Over the course of the year you will:

Administration

  • Provide a range of administrative and support services, including contract administration, records management, routine correspondence, meeting and event coordination
  • Provide secretariat support including coordination with Chair and Committee Chairs, preparing agenda, papers, minutes, Annual Report and coordinating follow up actions
  • Liaise with and support the contracted company accountant, IT support, website manager and secure service providers as required.
  • Ensure appropriate risk management, health & safety compliance
  • Assist the TMBF Research Advisory Committee to execute grant rounds and manage funded projects
  • Liaise with legal counsel regarding review, editing and negotiating funding agreements with grant recipients and their institutions

Communications

  • Respond to enquiries, escalate and redirect issues as required to ensure the provision of accurate information
  • In liaison with Community Partnerships Officer
    • manage the production of a quarterly newsletter, website maintenance and ongoing social media presence
    • assist in delivery of internal and external events

Record keeping

  • Liaise with Accountant / Bookkeeper regarding Account keeping
    • Management of membership applications and renewals;
    • Support processing of donors and donor contacts
  • Coordinate and maintain cloud storage and databases

Skills and Experience required

You will have strong, demonstrated collaboration and emotional intelligence skills with an established track record in administration and operations management, as well as effective engagement experience with individuals from diverse backgrounds acting at all power levels. In addition, we are looking for:

  • Minimum of 5 years’ experience in administration and operations management, ideally with a not-for-profit incorporated body
  • Excellent communication (oral and written) and presentation skills
  • Experience with contract management, procurement and strengthening collaborations with internal and external stakeholders
  • Analytical and management reporting skills and experience
  • Ability to prioritise needs and handle diverse tasks
  • Experience in using CRM, CMS and social media / content-provision platforms would be an advantage
  • Cultural awareness, respect and inclusivity

Salary range

$55,000 - $65,000 (FTE $92,000 - $108,000) depending on experience.
