ABOUT NAAJA

The North Australian Aboriginal Justice Agency Ltd (NAAJA) provides legal assistance and justice services for Aboriginal and Torres Strait Islander people in the Northern Territory. We have offices in Darwin, Palmerston, Katherine, Tennant Creek and Alice Springs. We are recognised as a leading legal service and have received national and local human rights and crime prevention awards for our work.

NAAJA’s legal practice is the largest in the Northern Territory, providing high quality, culturally proficient and accessible advice, casework and court advocacy in both criminal and civil law. NAAJA particularly seeks to achieve social justice for Aboriginal and Torres Strait Islander people through strategic litigation, law reform and education.

OBJECTIVES OF THE POSITION

The Receptionist is usually the first point of contact for callers and walk in clients. NAAJA requires a person with excellent telephone and interpersonal skills, as well as understanding and patience to deal with a wide range of people. The reception area is extremely busy in peak times, and other times the position requires a self-motivated person who will make the best use of their time by performing administrative tasks.

The work requires high levels of motivation, energy and a commitment to professional excellence.

KEY RESPONSIBILITIES

The Receptionist will be responsible for operating the switchboard and dealing with callers in an effective and efficient manner, transferring callers to the appropriate person within NAAJA, or referring to other appropriate agencies.

DUTIES

Responsible for providing a sensitive cultural link between clients and solicitors of NAAJA as well as administration and other office duties as required. The Receptionist’s duties will include, but not be limited to, the following:

  1. Punctual and reliable attendance to commence duties from 8.00am.
  2. Answer all incoming telephone calls in a timely manner and obtain adequate information to redirect calls to the appropriate person within NAAJA.
  3. Screen all calls before redirecting and take clear and accurate messages when required, to refer to the appropriate person via email.
  4. Provide callers with helpful and courteous referrals to the appropriate external agencies when required.
  5. Ensure a high level of confidentiality is maintained at all times.
  6. Record incoming correspondence / mail and refer to relevant staff member.
  7. Performing data entry and minimal secretarial duties as directed.
  8. Sorting Mail – Incoming & Outgoing in pigeon boxes. Collect, record and process.
  9. Maintaining electronic mail register for the Administration Section
  10. Operate manual and electronic information systems.
  11. Conduct mail rounds daily at 10.30am & 2.00pm and ensure that the reception is relieved by an appropriate staff member for these rounds.
  12. Manage and record Vehicle bookings for Darwin main office.
  13. Manage access control system for building security.
  14. Raise Purchase Orders e.g office stationaries, tea, coffee and lunches during board meeting etc.
  15. Manage and setup Board Meeting Room before Board Meetings.
  16. Assist DCEO for Photocopying, binding and faxing when required.
  17. Ensure that the reception area is kept clean and tidy at all times (as it is the first point of contact with the public).
  18. Other duties as directed.

SELECTION CRITERIA

Essential

  1. Knowledge and understanding of contemporary Aboriginal culture and society, including knowledge and understanding of impact of colonisation on Aboriginal society.
  2. Good written and oral communication skills with a particular ability to communicate with Aboriginal and Torres Strait Islander people.
  3. Experience in the use of a switchboard skills.
  4. Experience/demonstrated ability in office procedures including word processing, filing and reception.
  5. Ability to work as part of a small team and meet deadlines without supervision.
  6. Good interpersonal skills to assist people who may be distressed, angry or confused.
  7. Ability to liaise with management, staff, clients, and other agencies.
  8. Punctual, reliable, and proven professional work ethic.
  9. Demonstrated ability to use initiative and get work done in a timely manner.
  10. Ability to obtain a “Working with Children Clearance” (Ochre Card) upon commencement.
  11. Satisfactory criminal history check and no history of disqualification from employment by a legal practice.

Desirable

  1. Previous experience working in an administrative role.
  2. Experience working in an Aboriginal Community controlled organisation.
  3. Cert III in Business Administration.
  4. Current drivers’ license.

REMUNERATION & BENEFITS

  • Salary packaging options applicable to the NGO sector (Available for Full-time staff).
  • Six weeks annual leave per year with leave loading.
  • Fifteen days personal leave.
