We are seeking an experienced Receptionist and Centre Support Officer to join our team. North East Community Support Group Inc (NECSG), is a non-profit community-based organisation in Zillmere auspicing three service programs: Zillmere Community Centre, Zillmere Family Accommodation Program and Zillmere Young People Support Service. Our mission is to provide quality community support programs in line with changing needs and services targeted to alleviate poverty, homelessness, distress, disability, isolation, and unemployment.

Zillmere Community Centre (ZCC) provides individual and community support to people living in Zillmere and surrounding suburbs and offers a place of welcome, acceptance and inclusion for all. Community members can access information and advice, a range of practical support, group activities and meeting spaces at the Zillmere Community Centre.

About the role

The Reception and Centre Support Officer is the primary role responsible for creating a welcoming space and ensuring smooth operations of the day to day functions of reception for the Zillmere Community Centre. This position provides the first point of contact for clients and visitors as well as information support to community members and groups who utilise and hire the centre.

In this role, you will deliver a welcoming and professional reception service for the Zillmere Community Centre and also provide support to the Team Leader in delivering events, projects and resources whilst also actively contributing to a positive and professional team environment.

The Reception and Centre Support Officer position is a permanent part-time position (dependent on continued funding) of 22 hours per week (Monday to Thursday from 9am – 3pm). The position is paid at the Social, Community, Home Care and Disability Services award Level 3 with salary sacrifice available. The Reception and Centre Support role will report to the Team Leader and work collaboratively and supportively with other staff and volunteers of the Zillmere Community Centre team.

Your key responsibilities will include:

Reception

  • Assist in the implementation of service delivery of the Zillmere Community Centre including:
    • Be the first point of contact for people accessing the centre including clients, visiting services and volunteers.
    • Ensure the centre is a safe and welcoming environment for all.
    • Undertake reception duties including serving visitors by greeting, welcoming, and directing them appropriately, managing phone calls, answering, or redirecting counter, phone or email enquiries, mail collection and delivery.
    • Provide information on the activities and support available from the Community Centre as well general information on other organisations offering support.
  • Room Hire support
    • Assist with room hire bookings, in collaboration with the Team Leader and Finance Officer.
    • Provide information and promote the centre’s community spaces available for hire.
    • Answer enquiries, take bookings, seek approval for new bookings and orientate new hirers to the procedures for hiring a room at the community centre.
    • Oversight of rooms ensuring rooms are prepared for use by hirers and/or other groups and activities.
  • Work with volunteers to undertake other tasks to support the operation of the community centre.

Centre Support Duties

In consultation with the community centre Team Leader,

  • Assist the Team Leader with events, projects, and resources, including the creation and distribution of flyers or brochures.
  • Support the Team Leader as required with administrative tasks associated with delivery of events, projects, and resources.
  • Maintain data and information collection, specifically collection of statistics for the Neighbourhood Centre program.
  • Assist with updating resource manuals as well as other resources including the website and information booklets.
  • Maintain the schedule of Centre activities and events and promote activities and events to the local community.
  • Create regular social media posts for Zillmere Community Centre.
  • Oversee the collection, sorting and storage of donations received at the Centre with support from volunteers.
  • Facilitate and provide support to the volunteer team with food parcels for clients, as required (subject to NECSG policies and procedures).
  • Undertake general administration duties such as:
    • checking the Community Centre email account and responding as required
    • overseeing stationery requirements, filing as required, etc.
