About the Odyssey Institute

The Odyssey Institute is a registered training organisation (RTO ID 20995) and holds registration with VicRoads for the provision of drink and drug driver behaviour change programs. The Odyssey Institute holds a Skills First contract with the Department of Jobs, Skills, Industry and Regions for provision of government subsidised training. Along with fee for service contracts held with specific health and welfare agencies, the Institute holds a strong strategic position in the health and community services industry sectors for provision of quality training and assessment services. In conjunction with the RTO function, the Institute and manager also coordinates, promotes, and delivers the VicRoads Drink and Drug Drive Behaviour Change Programs, and retains the required registration requirements with VicRoads.

About this opportunity

You will be responsible for providing support to the provision of the Institute’s RTO and the VicRoads Drink and Drug Driver Behaviour Change programs. The key objective of the position is to provide excellent responsive customer service and effective administrative and program support to the Odyssey Institute through utilisation of sound skills in recordkeeping, IT systems and effective communication.

Duties include but are not limited to:

  • Timely response to phone and email enquiries, with a focus on:
    • Providing accurate and timely information.
    • Promoting DDDBCP and Odyssey Institute’s RTO programs.
    • Responding proactively to and resolving participant, student, and other clients’ concerns; and
    • Carrying out follow up with DDDBCP participants at conclusion of programs.
  • Accepting, processing, and monitoring bookings and applications for places in the RTO training programs as well as the Drink and Drug Driver Behaviour Change Programs
  • Monitoring and reporting on customer feedback and complaints.
  • Prompt processing and accurate recording of payments made via EFTPOS, PayPal, and other means.
  • Assisting with a broad range of program administration including:
    • Completing, updating, monitoring, and reporting on program applications and responding to enquiries
    • Monitoring invoicing, recording payments, and issuing receipts.
    • Conducting student and DDDBCP participant file audits.
    • Organising meetings, including taking action notes as required.
  • Assist in scheduling of training and DDDBCP programs including booking venues and rooms, assigning Zoom licencing requirements.
  • Liaising with the Administration Coordinator, trainers/assessors, facilitators, project officers, the Institute Manager; and representatives of external agencies.
  • Generating and distributing reports from the JobReady System and other records/data systems.
  • Uploading data into program data systems as required

Key Selection Criteria

We are looking for a detail orientated and dynamic Administrator to join our close knit Administration team.

To be successful in this role, you must:

  1. AQF level 3 or 4 qualifications in Business Administration / Information and Communications Technology or equivalent experience.
  2. Demonstrated knowledge and experience in office administration, including knowledge of record keeping, administrative procedures and processes.
  3. Excellent customer service and complaints handling skills.
  4. Demonstrated problem solving skills, with a positive and flexible work attitude.
  5. Strong organisational and time management skills.
  6. High levels of attention to detail and quality.
  7. Ability to develop and maintain effective working relationships and to communicate productively within a team of trainers, facilitators, other administration officers, students, and other stakeholders
  8. Experience in working within a variety of data systems and online platforms.
