About this opportunity:

We are looking for an experienced and action-orientated Coordinator to be responsible for our owned and leased vehicle fleet and facilities.

Experience in data management, analysis and reporting will be highly advantageous!

Key areas of focus:

  • Maintain Existing Office Space and Facilities
  • Establish new office accommodation
  • Fleet Management & Maintenance
  • OHS and Quality Management Systems

Duties include but are not limited to…

  • Support Manager requests for repairs and maintenance
  • Facilitate building works and modifications as required
  • Coordinate building tests, security, and continuity plans
  • Schedule and monitor Fire Safety maintenance across all sites and support relevant actions.
  • Build and maintain excellent working relationships with landlords, partner organisations and other contractors
  • Support Managers to develop and design working spaces with an atmosphere conducive to the work of Odyssey House Victoria
  • Negotiate lease terms
  • Take primary responsibility for the coordination and maintenance of the Odyssey House Victoria owned and leased fleet vehicles
  • Manage and maintain continuous coverage for fuel, tolls, and roadside assistance, and allocation of fines
  • Coordinate leasing, purchase, repair, and lease return for all vehicles
  • Support Managers with site audits and facilitate any corrective actions or improvements as required
  • Report all identified incidents and hazards via our Riskware platform.
  • Maintain good working relationship with managers, external parties, service delivery partners and subcontractors.

Key Selection Criteria:

We are looking for an experienced Coordinator to ensure the safe and efficient use of our resources.

To be successful in this role, you must meet the following:

  1. Previous experience working in a Facilities or Fleet Management role
  2. High level communication skills, both verbal and written, with a collaborative style and a strong service orientation
  3. Experience in data management, analysis, reporting and presentation
  4. Highly proficient in the use of Excel
  5. High level of computer literacy
  6. Self-motivated and action oriented
  7. High Level attention to detail
  8. Capacity to manage multiple priorities and projects
  9. Understanding of Workplace Health and Safety legislation in relation to the office environment
  10. Understands and complies with organisational Code of Conduct, policies and procedures.
