Permanent Care and Adoptive Families (PCA Families) is a not-for-profit member-based organisation representing families formed by Permanent Care, Kinship Care and Adoption in Victoria. Established by parents from this community in 2003, we continue to be guided by the lived experience of our members.

PCA Families has an exciting vacancy within the Flexible Funding Program. The Client Services Officer will be instrumental in the small team and in the administration and processing of applications.

Key Responsibilities:

  • Respond to Flexible Funding calls and enquiries as required.
  • Check eligibility for Flexible Funding applications.
  • Process assigned applications in a timely manner
  • Provide administrative and operational support to the Flexible Funding Program.
  • Provide administrative support to clients to navigate Flexible Funding application process via the PCA Families website.
  • Maintaining accurate records within the Flexible Funding portal/database.
  • Liaise with external stakeholders, including businesses, and service providers to obtain application documentation as required.
  • Collaborate with program staff to streamline administrative processes and improve program efficiency.
  • Provide back up support to other PCA Families Programs when required.

Skills and Experience:

  • Proven experience in an administrative role, preferably within a community services organisation or not for profit.
  • Experience working with carers and families.
  • Strong organisational and time management skills, with the ability to multitask and prioritise competing demands effectively.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Ability to work collaboratively as part of a multidisciplinary team.
  • Commitment to the mission and values of PCA Families.

* Lived experience of the Out of Home care would be viewed favourably.
