Creating our organisational and sector culture is an ongoing process which we are developing by listening and learning together, hearing and acting upon diverse voices and opinions to develop a common sense of identity and effective ways of working, The CEO is the person that is responsible for both culture and practice of the organisation, and this role will play an essential part in these duties.

Your contribution

As the Chief Executive Assistant, you will play an essential role in ensuring the smooth running of the CEOs diary and time, ensuring they have the information needed to inform meetings and visits, to allow them to make the best use of their time, and deliver the priorities of the organisation.

Additionally, you will provide administrative, logistical, and business support to the CEO you and will cover a wide range of interesting and challenging duties in a modern, flexible, and dynamic workplace.

The role offers the opportunity for significant interaction with senior colleagues and external stakeholders. You will be part of a cross-cutting team and you will be expected to work in a number of different workplace settings across Queensland.

Key Selection Criteria and Skills

We are looking for candidates who ideally possess the following skills and experience for the role. However, we are also committed to helping you learn and develop, to allow you to and get the very best out of yourself.

If you possess some or all of these skills, then we would like to hear from you:

  • Experience of diary management and arranging meetings / preparing papers.
  • A strong communicator, able to communicate messages clearly to a range of audiences at all levels – both verbally and in writing.
  • Strong organisational skills and ability to prioritise work.
  • Ensuring that the CEO has received timely and quality written briefings from EOs on different areas of work.
  • Skilled in the Microsoft office suite packages (specifically Excel, Word, Outlook and PowerPoint)
  • The ability to build productive working relationships quickly and to engender confidence with colleagues and stakeholders.
  • Experience of managing conflicting priorities in a fast paced, constantly changing work environment to achieve successful outcomes.
  • Advising the CEO on how best to use their time and the aptitude to brief them confidently and accurately on the details of each of their engagements.

Position key duties

This position oversees the following key duties and responsibilities (this list is not exhaustive):

  • Strategic planning of CEO's diary, developing a high-level understanding of key organisational priorities and ensuring efficient and appropriate use of time.
  • Preparation, management, and record keeping of papers for stakeholder, governance, and operational meetings ensuing that all relevant stakeholders have had the chance to contribute in a timely manner.
  • Day-to-day diary management - setting up meetings and adapting quickly to changes to ensure smooth and effective management of time. Preparing daily diary packs, ensuring the CEO has all the relevant briefing they need for their meetings.
  • Handling invitations and working with the wider Leadership team to produce advice and oversee the responses sent.
  • Any other tasks as agreed.

Working from Home

This position allows for a mixture of home based and office-based hours.
