The Queensland Council for LGBTI Health (QC), and 2Spirits are united in a statewide mission to enhance the health and wellbeing of Lesbian, Gay, Bisexual, Transgender, Intersex, Sistergirl, and Brotherboy people and communities across Queensland.

Since its formation in 1984, QC has been dedicated to delivering peer-led, community-based health services and health promotion initiatives, benefiting from funding from Local, State, and Commonwealth Governments, as well as the invaluable support of volunteers, donors, and broader community members.

2Spirits, since 1996, has been committed to cultivating pathways that foster partnership with agencies and community organisations, with a focus on the health and wellbeing outcomes for Aboriginal and Torres Strait Islander LGBTIQ+ Sistergirl and Brotherboy people.

Together, QC and 2Spirits work to create safe, culturally appropriate, and accessible environments, free from discrimination and stigma, where individuals can make informed health, wellbeing, and lifestyle choices. This partnership is responsive to critical issues such as health, wellbeing, HIV/AIDS, people living with HIV (PLHIV), alcohol and other drugs, as well as youth and ageing within our LGBTIQ+ Sistergirl and Brotherboy and Aboriginal and Torres Strait Islander LGBTIQ+ Sistergirl and Brotherboy communities.

The role:

QC are seeking an Administration Officer working within our Statewide Operations Team. This role is responsible for site administration of our Toowoomba premises, volunteer coordination, and providing support for events and programs which contribute to better outcomes for our Lesbian, Gay, Bisexual, Trans, Intersex, Sistergirl and Brotherboy communities in Queensland.

This role will also provide support to our 2Spirits Team across the state to ensure that the team are connected and supported in ways that are led by Culture. To this end, this role is an identified role in that it is a Genuine occupational requirement that the person is an Aboriginal or Torres Strait Islander person and a member of LGBTIQA+ Communities. It is therefore a genuine occupational requirement under section 25 of the Anti-Discrimination Act 1991.

Further, through this role, the person will perform duties that benefit the members of a group of people with an attribute whose welfare the act was designed if the purpose of the act is not inconsistent with the Anti-Discrimination Act 1991. Welfare measure exemption (section 104)

Your teams – Statewide Operations & 2Spirits Teams

  • Contribution: Our Statewide Operations Team is the backbone of the organisation and our work to support our communities in Queensland. Its role is central to the broader QC team being able to achieve our goal of providing support to people wherever they are in their life journey.
  • Our 2Spirits Team are our organisational partners in the ways in which we effectively and meaningfully carry out our First Nations work
  • Key strategies: Our Statewide Operations Team performs its roles efficiently and effectively during core office hours to ensure that we operate productively in a tight funding environment where the needs of our communities have rarely been as high. The team thinks strategically and with innovation to find ways to meet needs in a way that increases service delivery to as many communities as is possible.

Your contribution

Contribute to systems and practices for the flow of work and information between teams and organisational support services to assist in the delivery of work. This will include premises maintenance, first point of contact services, volunteer coordination and ensuring the smooth running of the organisation’s operations through the administrative support of bookings, correspondence, and maintaining office supplies and consumables.

Required skills for this position

This position requires a demonstrated track record in support to a diverse and multidisciplinary organisation and the ability to be a welcoming first point of contact for our many diverse community members and partner organisations.

  • The ability to support an organisation through high level administrative and operational processes, including the coordination of maintenance, supplies and workflow coordination across multi-disciplinary teams, and organisational accreditation systems.
  • The capacity to manage competing priorities within a workforce that is geographically dispersed and with multiple office locations across the state in a role that combines coordination with practical on the ground delivery and support.
  • The ability to manage bookings, contracts for services, suppliers and supplies.
  • Highly developed interpersonal, communication and negotiation skills and the ability to build and maintain good working relationships with key stakeholders including paid and unpaid staff, community partners, suppliers and other stakeholders.
  • An understanding of and commitment to the role of peers in the delivery of services to our communities and to the values and principles of the organisation.
  • Computing skills including competency in web-based systems, Mac and PC based applications and remote working systems.
  • Effective time management skills to prioritise tasks, meet deadlines, and manage multiple responsibilities simultaneously in a fast-paced environment.
  • Strong interpersonal skills to build rapport with stakeholders, resolve conflicts diplomatically, and foster positive relationships within the organisation and with external partners.
  • To demonstrate culturally secure practices and understanding of our ways of knowing, being and doing of First Nations peoples across the organisation.

Position key duties

  • Coordination of volunteer programs including ordering and maintaining supplies and resources
  • Front desk support: answer and direct phone calls, emails, and other correspondence
  • Greet visitors and community members as first point of contact
  • Participate in and provide administrative support for regular team meetings
  • Monitor and order office supplies as required
  • Build and maintain relationships with staff, volunteers, community partners and community members
  • Contribute to the planning and delivery of community events
  • Within reason and capacity administrative support to 2Spirits Executive Officer
  • Cultural Connector for First Nation QC and 2Spirits teams to support staff with practical work related advise or organisational navigation
  • Supporting QC and 2Spirits to consistently and equably embed, maintain, reflect and adapt culturally secure ways of knowing, being and doing.

  • Supervisor: Statewide Operations Coordinator and 2Spirits Executive Officer

We also utilise the Rainbow Tick Principles and Practice Standards to guide our work, and use this Framework to facilitate genuine Lesbian, Gay, Bisexual, Trans, Intersex, Sistergirl and Brotherboy inclusion and continuous innovation and quality improvement amongst staff and other parts of the organisation. Demonstrating inclusion and meeting the Practice Standards in our own work is a key deliverable for all staff positions.
