ROLE DESCRIPTION

The Operations Officer will assist the Chief Operations Officer (COO) in managing and evaluating Queensland Advocacy Incorporated’s (QAI) end-to-end business operations. This role supports the efficient and effective functioning of the organisation by ensuring consistent standards and operational excellence across all areas.

The position is part time or full time on an initial fixed-term contract until 30 June 2025, commencing as soon as possible. The role falls under the Social, Community, Home Care & Disability Services Industry Award 2010 (SCHDS Award) and will be paid at Level 5.

KEY RESPONSIBILITIES

  • Assist the COO in developing and implementing administrative practices, information systems, and processes that ensure the smooth operation of QAI. Help in creating templates and safeguards that align with client, organisational, statutory, and data management needs across various funded programs.
  • Assist in overseeing the engagement of IT services, telecommunications, office facilities, office supplies, maintenance, and equipment. Help manage contractor relationships and corresponding registers to ensure smooth operational functioning.
  • Assist the COO in ensuring workplace health and safety compliance and to identify current and potential risks to the organisation, adhering to legislation.
  • Facilitate human resource management by assisting in advertising positions, organising recruitment, developing position descriptions, preparing inductions, and monitoring screening requirements.
  • Assist in managing QAI’s IT systems, particularly the development and utilisation of Office 365 and SharePoint. Provide troubleshooting support and liaise between staff and external IT providers to resolve individual IT issues.
  • Take responsibility for managing the CEO’s email correspondence, including prioritising, responding to, and organising emails. Ensure important communications are addressed promptly and coordinate with relevant staff to handle specific requests.
  • Provide administrative support to the CEO and Principal Advocates and Solicitors as and when requested by the Chief Operating Officer.
  • Participate in staff meetings, planning workshops and other meetings in connection with the operation of client services and QAI.

SELECTION CRITERIA

Essential

  • Strong commitment to human rights, social justice and diversity.
  • Excellent communication skills, and ability to support vulnerable people with clear information.
  • Well-developed organisational and time management skills, including the ability to plan, implement and evaluate areas of work.
  • Proficiency in the use of Microsoft environments, including Sharepoint, Teams and Outlook.
  • Criminal history screening clearance.

Desirable

  • Lived experience of disability.
  • Call centre or equivalent experience.
  • Previous experience at a Community Legal Centre and/or with the Community Legal Assistance Services System (CLASS), would be advantageous.
