With our actions driven and guided by those with a lived experience of suicide, we strive to innovate and transform suicide prevention, drive and deliver system reform and support organisations and government to effectively and meaningfully integrate lived experience expertise into suicide prevention.

Everyone who works within Roses in the Ocean has a lived experience of suicide which is defined as ‘having experienced suicidal thoughts, survived a suicide attempt, cared for someone through suicidal crisis, or been bereaved by suicide.’

The Opportunity

Reporting to the Head of Community-led Safe Spaces, the Service Delivery Administrator is responsible for supporting the delivery of various services through administrative tasks and duties. This role will take ownership of the logistical and administrative requirements for this team, working closely with the Community-Led Safe Spaces Project Coordinators.This is a varied and dynamic role requiring keen attention to detail, exceptional interpersonal communication skills, and the ability to manage numerous short-term projects at any given time.

Summary of duties:

  • Administratively support the implementation of Community-led Safe Spaces and other services as required, under the supervision and guidance of the Head of.
  • Assist the Peer Warmline & Volunteer Coordinator with the onboarding and upskilling of volunteers for Community-led Safe Spaces services, liaising with Project and Workshop Support team as required.
  • Support the Service Delivery team to develop, implement and maintain administrative procedures to ensure effective systems are in place for information management and efficient delivery of services including guidelines, policy and procedures.
  • Take responsibility for the effective functioning of Volaby so that team members, volunteers and working group members feel supported and confident with their usage of the platform.
  • In collaboration with the Service Delivery team, maintain and update Monday.com boards to ensure service activities are tracking accurately.
  • Contribute to, collate and prepare reports and Service Delivery data as required.
  • Understanding and directing where necessary, the billing and invoicing requirements that pertain to your work activities, including assistance with financial and performance reporting activities where required and reconciling receipts and invoices.
  • Work with the Finance team to ensure all financial information pertaining to service delivery activities are appropriately tracked in Monday.com.
  • Respond to or redirect, as appropriate, volunteer enquiries and specific requirements in relation to each project.
  • Liaise with external clients, evaluators, and volunteers as required.

About You

To succeed in this role, you’ll bring:

  • Lived experience of suicide and a deep understanding of its impact on families, workplaces, friends, and communities.
  • Previous experience in the administration of Services Delivery and/or Project Management. 
  • Proven high-level administration and organisational skills.  
  • Demonstrated capacity to maintain confidentiality and professional standards of behaviour in difficult and sensitive circumstances. 
  • Excellent written and oral communication skills. 
  • Demonstrated ability to communicate and liaise effectively and sensitively at all levels, both internally and externally. 
  • Proactive, collaborative mindset and demonstrated capacity to work independently and within a team environment. 
  • Proven time management logistics and problem-solving skills and the ability to balance conflicting priorities and work to deadlines. 
  • Strong knowledge of Microsoft Office Suite (Word, Excel, PowerPoint), Office 365, Monday.com and SharePoint. A working knowledge of Volaby would be beneficial.
