About Us:

The Self-Determination Fund is a recently established registered Not-For-Profit, First Peoples owned and controlled resource, designed by and for First Peoples of Victoria. The purpose of the Self-Determination Fund is to promote First Peoples’ economic development, both through the Treaty process and into the future.

The main purposes of the fund are:

  • Equal Footing in Treaty Negotiations for Traditional Owners in Victoria - to support Traditional Owners to enter Treaty negotiations with the State Government with equal standing, and
  • Wealth and Prosperity of all First Peoples in Victoria – to be a resource to help First Peoples to build capacity, wealth, and prosperity for current and future generations.

The Role:

The Self-Determination Fund is seeking an experienced Office Manager/Executive Assistant to join our small but growing team, that is passionate about the promotion of Self-Determination for Aboriginal and Torres Strait Islander communities.

Reporting directly to the CEO, the Office Manager/Executive Assistant will play a pivotal role in shaping and managing the office environment and administrative processes, as well as providing administrative support to the CEO and Board.

This is a unique opportunity to contribute to the Fund’s purpose and utilise your skills to shape and manage Fund’s office and administrative operations with a values aligned work culture.

Key Responsibilities:

  • Administrative Support: Provide executive administrative support to the CEO, and Board when required, including managing calendars, scheduling and setting up meetings, coordinating travel arrangements. Support with event management and preparing presentations and other administrative tasks as required.
  • Workflow Optimisation: Identify opportunities to improve operational efficiency and streamline processes, working collaboratively with teams to create and implement innovative tools and platforms.
  • Front of house: Managing welcome of guests, incoming general calls, mail, and emails.
  • Office Management: Spearhead the setup and on-going management of the operational processes of the office, including developing and maintaining administration systems and procedures required for an effective work environment. Lead the onboarding of new employees, manage vendor relationships including our IT service provider, and assist in managing the office-related budget.
  • Team Engagement: Foster a positive work culture that celebrates diversity, promotes inclusivity, and values Indigenous perspectives. Including team building activities, participation at community events and delivery of learning and development programs designed with the support of the CEO and HR so that our team members can thrive.
  • Office Policies and Procedures: Contribute to the development and maintenance of office policies and guidelines that reflect the unique needs and aspirations of First Nations communities, ensuring equity and fairness in the office environment. Develop and maintain administration systems and procedures to ensure accountability in line with organisational policies and procedures.
  • Transition to Physical Office: Play a key role in establishing the Melbourne office, including managing office logistics, coordinating space setup, and ensuring a smooth transition for all team members.
  • Documentation and Records: Establish and maintain documentation standards, records, and data management systems that ensure transparency, accountability, and efficient retrieval of information.
  • Communication Management: Facilitate effective communication within the team, ensuring timely dissemination of information and maintaining clear channels of communication that promote open dialogue.

Skills, Competencies, & Knowledge:

  • Proven experience as an Office Manager, Administrative Coordinator, or similar role.
  • Knowledge and understanding of Victorian Aboriginal communities and demonstrated capacity to work effectively and with integrity in the context of a Self-Determined led organisation will be highly regarded.
  • Strong organisational and multitasking skills with the ability to prioritise tasks, particularly when establishing new processes.
  • Excellent communication and interpersonal skills, with a proven ability to support and engage with leadership effectively.
  • Proficiency in office management tools, technology, and remote collaboration platforms.
  • Attention to detail and problem-solving skills, with the ability to create efficient and culturally sensitive administrative processes.
  • Experience in remote work or remote team management is a plus, particularly with an understanding of Indigenous cultural dynamics.
  • Bachelor's degree in Business Administration or related field (preferred but not required).
