About the Role:
Senior Helpers is seeking a reliable and dedicated Roster Coordinator to join our team. This pivotal role will ensure that both client and staff schedules are efficiently managed to meet service requirements under the Home Care Package program.
The position will require proactive coordination to address any staffing absences, leave, public holidays, or scheduling conflicts while maintaining the confidentiality and accuracy of data in our Visual Care system.
Key Responsibilities:
- Develop and maintain client schedules to ensure service requirements are met.
- Create and manage staff schedules, adjusting for changes such as absences, leave, and public holidays.
- Ensure all data in Visual Care is accurate and up to date to support effective roster management.
- Communicate promptly with the Client Services Manager, Case Manager, and Owners regarding any client or staff-related messages received through the Visual Care portal.
- Track and report on instances such as assignment refusals, late arrivals, and early departures, providing regular updates to the Manager.
- Work closely with the Case Manager and Owner/Franchisee to select and schedule appropriate support staff based on care plans and client assessments.
- Respond to emergencies, scheduling conflicts, and callouts, ensuring the schedule is completed for the following business day.
- Participate in on-call shifts as agreed with the Operations Manager or Owner.
- Assist with managing support worker files, ensuring all necessary documentation (e.g., licences, training, insurance) is current and entered into the system.
Key Performance Indicators (KPIs):
- Maintain zero unassigned shifts by the end of each day.
- Ensure effective and timely communication with staff, clients, and contractors regarding scheduling and service requests.
- Respond to incoming service requests within 30 minutes.
- Notify the Office Manager or Director promptly if scheduling issues could result in delayed or missed client services.
- Resolve any scheduling conflicts or staffing shortages within 24 hours.
Level of Responsibility:
This role is responsible for the development and ongoing maintenance of client and staff schedules to ensure services are delivered as requested. While the position is supported by guidance and training, the Coordinator is expected to exercise initiative and sound judgment in managing their workload and representing Senior Helpers.
Supervision:
The Roster Coordinator works closely with the Case Manager under the guidance of the Owner/Franchisee. The role requires strong organisational skills, the ability to manage time effectively, and a focus on meeting key performance indicators (KPIs).
Selection Criteria:
Essential:
- A minimum of 1 year’s experience in a staffing, rostering, or recruitment role.
- Professional background in customer service or coordination.
- Strong communication and interpersonal skills.
- High attention to detail and accuracy.
- Proficiency with rostering or scheduling software (experience with Visual Care is an advantage).
- Ability to maintain confidentiality and handle sensitive information professionally.
- Sound problem-solving and conflict resolution skills.
Desirable:
- Previous experience in the aged care or home care sector.
- Knowledge of Home Care Package guidelines and regulations.
