The Self-Help Addiction Resource Centre (SHARC) is a community-based Lived Experience organisation with a unique approach to supporting people affected by substance use. SHARC combines mutual self- help and social support with professional therapeutic approaches.

ABOUT OXFORD HOUSES:

Oxford Houses is one of the SHARC residential peer programs. Oxford Houses provides a secure, supportive and affordable home environment in which residents can build the foundations of a lasting recovery. Residents are responsible and accountable for managing the affairs of their house within the SHARC Oxford Houses guidelines, strengthening their individual recovery and sharing in the recovery of fellow residents.

Peer support underpins our residential peer programs where residents are inspired and supported by each other, people who understand their struggles and have found ways to manage common challenges.

POSITION OBJECTIVE:

This position participates in the day-to-day operational running of Oxford Houses (OH) including intake and assessment of potential residents, administrative and data collection activity, supporting the residents through individual and group mediation sessions, attending house meetings when required and overseeing the tenancy management function, networking with landlords/property managers, working closely with the finance team to manage budgets. Building/training the Alumni and working in partnership with the NMHP including participation in quarterly meetings.

This role will suit someone looking to work part time - 4 days per week.  

SPECIFIC RESPONsiBILITIES:

  • Maintenance of a recovery culture through role-modelling respectful and effective communication and building positive relationships with program participants
  • Ensuring that the program adheres to the OH model and reflects a recovery focus, peer support, individual accountability and cooperative living
  • Provision of relevant information regarding Oxford Houses to people seeking admission to the program, other agencies and members of the community
  • Provision of intake and assessment for potential residents
  • Maintenance of the Expression of Interest List
  • Provision of individual supportive sessions to residents
  • Facilitation of relevant house groups and mediation sessions
  • Maintenance of residents’ clinical files on redicase
  • Documentation of each relevant resident-related contact
  • Writing letters for court and other matters
  • Within privacy policies, management of effective relationships with residents’ recovery networks including co-residents and family members
  • Maintenance of relevant data bases
  • Maintenance of records of House Meetings
  • Facilitation of OH Chapter Meetings and coordination of Chapter subcommittees
  • Liaison with and building capacity of Alumni community members
  • Full participation in SHARC / NMHP quarterly meetings
  • Adherence to OH accommodation-related policies and practice
  • Participation in the development and evaluation of SHARC residential peer programs
  • Participation in appropriate program and organisational working groups/committees
  • Development of reports for the SHARC Annual Report, ANMF funding report and similar activities
  • Familiarity with, and adherence to, SHARC clinical, incident reporting, risk management and other organisational policies and procedures
  • Support residents in properly maintaining their house
  • Email Property Managers regarding repairs and maintenance issues that come up
  • Maintain good relationships with Property Managers, Real Estate Agencies and Landlords
  • Occasionally attend routine house inspections, going along with property managers
  • Complete monthly rent transfers to Real Estate Agencies and Landlords
  • Renew leases for properties when they come up for renewal
  • When necessary, search and apply for new properties, secure leases for new houses
  • Update Property Lease spreadsheet when there are changes to property manager details or when there are rent increase or decreases
  • Support residents when there is a house move, arranging removalists, finalising Bonds, Utility disconnections and connections
  • Track residents rent payments are up to date, routinely updating rent tracking spreadsheets
  • Complete fortnightly house rent transfers, transferring funds from house bank accounts to Chapter account
  • Complete bookkeeping for Oxford Houses Australia Program using Xero, saving all receipts and invoices into Xero
  • Prepare monthly Profit and Loss Reports, liaising with other OHA staff to ensure program is on track to maintain a Surplus
  • Calculate yearly rent increases, giving necessary notice to residents
  • Complete Sign Up Documents with residents when they first move into the program
  • Facilitate referrals for Rent Arrears Assistance for residents experiencing financial difficulty
  • Complete Real Estate Agency rental references for residents who are moving out or who are no longer in the program
  • Purchase new house items on behalf of residents
  • When houses can’t afford new house items, apply for donations from organisations or facilitate pick up of free items or furniture from partner organisations
    • Purchase and forward monthly Coles vouchers for houses to be used for Petty Cash, and fuel vouchers as needed to be used for lawn mower fuel
    • Forward electricity, gas and water bills to houses for payment
    • Keep Oxford Houses Account Details spreadsheet up to date
    • Purchase and track movie tickets to be used for the Chapter Meeting house reward
    • Facilitate maintenance of First Aid and Fire Safety Equipment in houses
    • Completion of other duties as required.
