ABOUT THE ROLE

The Operations Coordinator is responsible for providing operational support across the business to facilitate the smooth day to day operation of the office, as well as facilitate operational performance across teams. Responsibilities will include:

  • Coordinate the efficient and effective day-to-day operation of the office, including managing the physical office environment, stock control and liaison with relevant suppliers.
  • Coordinate meetings and events, including scheduling, venue booking and catering.
  • Support organisational operational performance, including maintaining organisational policies and procedures, HR and compliance, IT systems and data management.
  • Provide administrative support to facilitate smooth project management processes and ensure an outstanding end to end client experience.

The role will suit a self-motivated and energetic professional who would like to apply their operational skills for good and who enjoys working across multiple projects and interacting with diverse stakeholders internally and externally.

RESPONSIBILITIES WILL INCLUDE:

Office Management

  • Coordinate the efficient and effective day-to-day operation of the office, including managing the physical office environment, plants and furniture, as well as office post.
  • Support the management of the office premises, IT and business systems, including document and asset register maintenance and liaison with relevant suppliers, such as IT support, cleaning contractors and building management.
  • Manage office supplies and stock control, including office food and beverages.
  • Provide timely responses to queries, requests and complaints both over the phone and via email.
  • Arrange meetings and events (and travel where relevant), including standing team engagement sessions, schedule coordination, venue booking/zoom organisation, welcoming visitors, catering and audio-visual equipment, as required.
  • Support the management team to develop, document and maintain workplace systems, policies and procedures.
  • Support HR functions, including recruitment, onboarding and off-boarding of employees.

Administration Support

  • Work with the team, where necessary, to support project management processes to ensure an outstanding end to end client experience, including sending client engagement letters, contract documentation, as well as performance monitoring and impact measurement data collection.
  • Provide support for organisational data management and reporting, including supporting the ongoing implementation of our CRM. Manage the recording and maintenance of information in relation to key contacts, clients and projects to facilitate timely, accurate, complete and insightful business intelligence.
  • Support the management team with the preparation of documents, such as agendas and minutes, correspondence, proposals, project reports and presentations.

WHAT WE'RE LOOKING FOR

Essential:

  • Minimum 2+ years’ experience in a similar role or industry.
  • Demonstrated experience managing multiple projects with competing deadlines.
  • Excellent time management and self-organisation skills with the ability to manage priorities.
  • Ability to work effectively independently and contribute to a team.
  • Strong written and verbal communication skills.
  • Service and results oriented with strong attention to detail.
  • Strong IT skills and ability to learn new systems (we use Zoho One) and processes.
  • Self-motivated, positive and energetic attitude.
  • Bachelor’s degree in a related field.

Desired:

  • Knowledge of the social sector and at least one of the Social Impact Hub’s areas of work is preferred (i.e. impact investing, enterprise education, social enterprise development, impact measurement, philanthropy, corporate social responsibility).

WHAT YOU'LL GET

At the Social Impact Hub, we understand and value flexibility in the workplace. We are open to candidates who would like to work full-time or part-time. Part-time can be 3+ days per week or school hours across the week, or a combination. The role is also hybrid in that Mondays, Tuesdays and Thursdays are collaboration days in our office, and Wednesdays and Fridays are generally 'working from home' days.

We are located in a small office based in Edgecliff, right above the train station.
