About the Role

The Shared Services unit provides and enables flexible, best practice and culturally responsive resources to be leveraged across SSI and by the wider community sector to enhance services and client experience. This is achieved through working closely with business to understand the common pressure points for clients and staff and identify opportunities to deliver creative solutions.

This role will be responsible for supporting the Shared Services unit with administrative tasks and the monitoring and reporting for a number of contracts and agreements.

Key Responsibilities

  • Supporting with monitoring contract compliance and KPI's and ensure deadlines and requirements are met by liaising with strategic stakeholders.
  • Coordinating arrangements for meetings between internal and external stakeholders, recording minutes following up on action items and deadlines.
  • Supporting with writing, compiling, reviewing and summarising various reports for internal and external stakeholders.
  • Provide support with financial account management such as invoicing, ordering & reconciling.
  • Supporting teams with the development of policies and procedures and ensure they meet quality system requirements.
  • Document and file management for the unit.

Skills, Knowledge and Experience

  • Diploma Business Administration and/or similar or a minimum of 2 years experience in a similar administrative role.
  • Adept knowledge and competency in Microsoft Office Programs including Word, Excel, PowerPoint, and Outlook.
  • Well-developed organisational and time management skills to ensure targets are achieved.
  • Well-developed interpersonal and communication skills with the ability to build effective relationships and liaise across all levels, both internally and externally.
  • Ability to work autonomously and effectively as part of a team to achieve goals.
  • Demonstrated commitment to providing high level of customer service and experience.
  • Strong task and time management skills.
  • Previous experience working with culturally and linguistically diverse communities would be desirable.
