We are seeking an enthusiastic, values driven and innovative Program & Operations Lead to join our DFC Team.
About the role
The Program and Operations Lead will report to the Head of Community and Operations and be responsible for coordinating the delivery, implementation, and evaluation of both DFC corporate and community programs. In this role, you will support the day-to-day operations within the DFC team, ensuring efficiency and smooth program execution.
The role is also responsible for the rostering and scheduling of facilitators for various programs, ensuring facilitators are aligned with program needs and that logistics are managed smoothly. Additionally, you will play a key role in supporting the growth and expansion of programs, while tracking and communicating their impact to showcase DFC's success.
This role is key in supporting the Head of Community and Operations to drive both the operational and strategic elements of the DFC's mission, ensuring the organisation can continue delivering meaningful programs while operating efficiently.
Key Responsibilities include:
Program Implementation
- Lead the end-to-end implementation of corporate and community programs, ensuring successful outcomes through:
- Building strong relationships with clients and community clubs, driving program engagement and satisfaction.
- Effectively rostering and coordinating facilitators, ensuring optimal staffing to meet program objectives and timelines.
- Streamlining the administration of the booking process to ensure a smooth and efficient experience for all stakeholders.
- Tracking and reporting on program impact, using data to assess effectiveness and drive continuous improvement.
- Additionally, contribute to program development in partnership with stakeholders to ensure programs align with organizational goals and deliver measurable results.
Relationship Management
- Collaborate with the Head of Community and Operations to build and sustain meaningful engagement with corporate and community stakeholders, ensuring long-term partnerships and alignment with organisational goals.
- Proactively identify and pursue new corporate and community leads, driving growth and expanding the organisation’s impact by increasing program participation and outreach.
Operational Excellence
- Assist the Head of Community and Operations with key operational tasks to ensure efficient day-to-day functioning, including but not limited to:
- Responding to enquiries in a timely manner, ensuring a high level of satisfaction and resolution.
- Managing facilities effectively to maintain a positive environment and ensure smooth program delivery.
- Overseeing invoicing processes to ensure accuracy, timely billing, and seamless financial operations.
- Collaborating with service providers, including Marketing, People and Culture, Finance, and IT, to drive cross-functional support and ensure operational alignment.
- Support the Head of Community and Operations in fundraising initiatives, contributing to the success of events such as, Spud’s Game and Spud’s Lunch, driving participation, engagement, and the achievement of fundraising targets to extend organisational impact.
About you
- Strong communication skills, with the ability to effectively engage and collaborate with diverse stakeholders, ranging from corporate partners to community groups.
- A proactive, self-driven individual with proven problem-solving abilities, capable of independently addressing challenges and finding effective solutions.
- Highly organised with exceptional attention to detail, ensuring smooth program delivery, accurate scheduling, and efficient operations.
- Strong time-management skills, able to prioritise tasks effectively and meet deadlines without compromising quality.
- Innovative and adaptable, with a demonstrated willingness to embrace change, explore new approaches, and continuously improve processes and strategies.
What you need
- At least 2-5 years of experience in a project coordination or similar role, demonstrating:
- Proven experience engaging with both community and corporate stakeholders.
- Mid-level expertise in end-to-end project coordination, including planning, execution, and evaluation.
- Experience working in a small business or start-up environment is highly desirable.
- Relevant tertiary qualifications in education, psychology, health, or project management.
- A valid working with children check or a willingness to obtain one.
- Mental Health First Aid certification is a plus.
