The Alliance brings together diverse community organisations, unions, and religious organisations to advance the common good and achieve a fair, just and sustainable city.

We do this by providing opportunities for people to have a say in decisions that affect them, their families and everyone working and living in NSW cities and regions.

The administrator for the Alliance enables a dynamic, creative group of organisers to do their work. By maintaining and improving administrative systems you provide order and peace of mind so that hundreds of volunteers can engage effectively with the important work of the Alliance.

Across the role, you’ll not only be supporting the NSW team in Sydney and Newcastle, but interacting with leaders and organisers from Queensland, Aotearoa-New Zealand, Canada and the United States.

You are a dedicated individual who has the appetite to support community organisers with projects and events, helping to strengthen engagement and connections within the Alliance.

POSITION SUMMARY

NSW Community Alliance is looking for an experienced and passionate professional to oversee and coordinate the day-to-day administrative activities of the office and organisation including support for the CEO in governance activities.

For the right person, there is also the possibility of the inclusion of an administrative secondment supporting the IAF Pacific, the network to which the NSW Community Alliance belongs.

KEY RESPONSIBILITIES

The Administration & Operations Manager will work to support the administrative operation of the NSW Community Alliance. This involves:

  • Responsibility for the administration of the Alliance membership base
  • Responsibility for maintaining the contact management (CRM) database of the Alliance and IAF Pacific
  • System administration of the Microsoft 365 platform
  • System administration of IAF Pacific Google Workspace and Zoom Account
  • Web content support to organisers of the Sydney Alliance, NSW Communities Alliance, Hunter Community Alliance and IAF Pacific
  • Ensuring a functional and productive office space
  • Responsibility for administration of flagship training programs
  • Responsibility for administration of key Sydney Alliance events
  • Responsibility for administration of IAF Pacific events (online)
  • Supporting the Community Organisers with project and event management

EXPERIENCE, KNOWLEDGE AND SKILLS

Essential Criteria:

  • High level of attention to detail.
  • Highly organised and methodical disposition.
  • Strong skills and prior experience in developing project management resources and providing support for projects and events
  • Solid CRM skills – specifically data handling:
    • Understanding the importance of data integrity and consistency.
    • High level of familiarity with CSV and XLSX files and how to use them in data importing
    • Capable of using CSV and XLSX files to manually transfer data between apps/systems
    • Familiarity with query handling; extracting reports; exporting data
  • Solid communication skills. Ability to liaise with external and outsourced IT support operators to resolve hardware and software issues as well as community organisers who are working in the office and out in the field.
  • Solid cloud-based technology skills – particularly around Sharepoint – managing site and document library permissions between role groups. Ability to educate staff to acquaint them with a cloud-based work environment.
  • High competency with Microsoft 365 platform – in particular Outlook, Sharepoint, Teams
  • Moderate experience with web content management apps. This organisation’s website is powered by Squarespace. Ability to add, edit and delete content on the website.

DESIRABLE CRITERIA

  • Exposure to some system administration role of Microsoft 365 platform e.g. creating and deleting user accounts; setting up libraries and sites; restoring deleted files etc.
  • Experience with online event registration apps. This organisation uses Humanitix.
  • Experience with online video conferencing apps and equipment e.g. Zoom, MS Teams and webcams
  • Ability to work with a very small tightknit team.
  • Ability to communicate and work with people of diverse ethnicity and faith.
  • Exposure to donor management apps such as Donorbox
  • Exposure to Zapier autotasking software
