About the Role
The role exists to steward the day-to-day finance and business operations in support of our strategy and mission. This role is based within TACSI’s operations team and works closely with our Business Leads and team members in our Adelaide, Melbourne and Sydney offices.
This role is responsible for the ongoing implementation and improvement of our business operations across finance processes, ICT, HR administration, office management and WHS, and acts as a conduit to our external finance team and ICT providers.
In this, it is important the role can support TACSI, our people and contribute to the strong organisational culture that has been cultivated over recent years, ensuring a supportive and proactive approach that builds strong relationships, accountability and a view to user experience and change management.
The role is a 2 year contract (0.8FTE or 1FTE) with possible further extension.
Important Role Relationships
TACSI is a “networked” organisation, with a non-traditional structure that aims to enable transparency, adaptivity, creativity, connectivity and leadership across the entire organisation. This role will have no direct reports, instead you will leverage the strengths and knowledge of the entire ‘network’ to support operations and work through an influencing and service mindset:
- Reporting to TACSI’s CEO and working alongside your peers in the broader Operations Team, specifically People and Culture and Marketing and Communications.
- Work with TACSI’s external partner providers including our outsourced bookkeeping and finance team and managed service IT providers.
- You will regularly connect with our Business Leads, who are responsible for the direction and health of our organisation.
- You will work in support and service of project teams to further enhance processes, for our work and impact.
- You will sit on the Risk and Audit Sub-Committee, as a subsection of the Board, which meets quarterly.
- All TACSI staff are matched with peers who form a “circle of support” who will ensure that you are adequately supported and growing your capability and confidence at TACSI.
Key Responsibilities
Provide proactive strategic business management support and oversight.
- Provide guidance and support on all aspects of financial, administrative, risk and compliance matters, working closely with the CEO and Business Leads.
- Ensure continued improvement and progress through effective strategic management, organisational development, business process improvement and change management, in conjunction with relevant stakeholders.
- Maintain oversight of resourcing and capacity needs across the TACSI network.
Coordinate and lead the day to day finance and operations of the organisation, including hands on service and support to key operational staff and leaders.
- Support the day to day internal operations of TACSI such as finance, IT, WHS and HR administration.
- Lead the End of Month process, engaging with our external finance function, ensuring data, compliance and process.
- Oversight of accounts payable and receivable, payroll and cashflow.
- In consultation with the CEO and Business Leads, support active engagement of the operational budget and cash flow projections which contribute to ongoing active management of TACSI’s strategy.
- Guide and support project leads and teams across TACSI to effectively manage financial matters related to their areas.
- Coordinate the ongoing review and implementation of TACSI’s operational goals as articulated in TACSI’s strategy.
- Support the coordination of Board meetings, agendas and minutes.
Actively surface and respond to the organisations key risks and compliance obligations.
- Review and maintain TACSI’s risk register as a living document with ongoing implementation of mitigation measures.
- Collaborate with our external providers, in relation to cyber security measures and actions for implementation, monitoring and management.
- Oversight of TACSI’s compliance obligations, including the active management of the organisational policies, procedures and controls.
- Responsible for the WHS practices, ensuring up to date staff training, processes and preventative measures are in place.
- Continually review and improve administrative and record management policies and processes (eg Ensure mandatory checks are up-to-date and are maintained.
- Maintain licences, databases and online records)
Support the ongoing improvement of Technology Systems and ICT Management.
- Working collaboratively with staff and our Managed Service IT Providers to oversee and continuously review the implementation, maintenance and licensing of all ICT systems, services and infrastructure that supports TACSI.
- Oversee the strategic planning of ICT requirements, in order to ensure future needs are met as needs change.

- Lead the development and implementation of systems and processes that ensure a human and intuitive customer experience.
- Develop and coordinate internal communications that ensure the TACSI network is engaged, heard and valued in changes, in partnership with our People and Culture Lead.

Your knowledge
- Financial acumen with a solid accounting knowledge in accrual accounting, revenue recognition and the relevant accounting standards
- Knowledge and proficiency in relation to financial management software, specifically Xero
- Demonstrated understanding and ability to interpret legislative requirements and create organisational policy and procedures
- Working knowledge of Google Workspace (formerly known as G Suite) and various cloud based project management software
- Exposure to, or an understanding of the dynamics and drivers of charitable organisations
Your education and experience
- Tertiary qualifications pr equivalent experience in relevant field(s) of Accounting, Finance or Business related disciplines
- A minimum of 3 years’ experience in a similar operations role, or at a similar level
- Experience in Accounts Payable, Receivable Payroll and assisting completing month end reports and budgets
- Experience interpreting and analysing data and advising on data-led decisions and business improvements
- Experience in providing service across the business and leading change management processes
- Willingness to undertake a Working with Children Check.
