About the Role

As the Administration Manager at Teuila, you will be crucial to maintaining seamless administrative operations. This role demands exceptional attention to detail, robust organisational abilities, and proficient multitasking skills.

You will be responsible for overseeing diverse administrative functions, including financial administration, HR administration, training record management, and overall administrative oversight.

Key Responsibilities

  • Maintain accurate and up-to-date records of NDIS participants. Ensuring compliance with NDIS regulations and standards.
  • Manage the calendar for allied health specialists, optimising scheduling efficiency.
  • Assist in the preparation and submission of NDIS applications and documentation.
  • Review plans and schedules of supports for participants, ensuring alignment with individual needs and goals.
  • File and document discussions with clients and their families, keeping accurate records of interactions and agreements.
  • Handle inquiries from participants, their families, and external stakeholders.
  • Manage budgeting and financial administration processes and assist with financial processes, such as invoicing and payment tracking.
  • Maintain accurate records of spending and receipts, ensuring timely uploads and documentation.
  • Act as the primary point of contact for HR-related queries from employees.
  • Provide recruitment assistance to LiquidHR, participating in the recruitment process as needed.
  • Coordinate and schedule regular personal development sessions for staff, identifying and addressing skill gaps.

Selection criteria

  • Bachelor's degree in a relevant field such as Business Administration, Health Services Management, Public Administration, Social Work, Disability Studies, Human Services
  • Current First Aid and CPR certifications
  • Current Blue card (or willing to obtain)
  • Current NDIS worker screening (or willing to obtain)
  • Current food safety certification (or willing to obtain)
  • Valid driver's license and a registered vehicle with comprehensive Insurance
  • Evidence of right to work in Australia
  • Understanding of National Disability Insurance Scheme, NDIS policies, guidelines, and procedures and up to date with relevant training programs
  • Practical experience and proven skills in a administrative leadership or management role within the disability services sector, especially in the context of healthcare, disability services, or government programs.

Schedule

  • 38 hours a week, Monday to Friday.

Experience

  • Minimum 2 years experience in an administrative leadership or management role.
