  • Status: Part-time, contract. Six months with a view to extending the role.
  • Capacity: 1 day per week, with flexibility (preferably) to be worked over multiple days.
  • Salary: $70k P/A pro rata + superannuation

About The Co-op Federation

The Co-op Federation is a non-distributing (not-for-profit) Co-operative that supports and advocates for co-operative businesses in Australia. An elected board of nine Directors oversees our Federation. We exist to support, promote, and represent co-operative enterprise in Australia.

About the Role

The Administration and Finance Officer role supports the Federation's day-to-day financial and administrative operations, ensuring smooth processes as we grow and serve our membership base. This role involves managing bookkeeping, invoicing, and administrative tasks while also looking for ways to improve organisational systems efficiency by adopting relevant IT solutions.

The role is ideal for a capable, organised person who can work autonomously, has excellent attention to detail, and has strong software skills. A passion for co-operatives or social impact organisations is highly desirable.

Key Responsibilities

  1. Administrative and Financial Support
    a. Perform day-to-day operations, including responding to inquiries and managing communications.
    b. Oversee financial management tasks such as bookkeeping and invoicing (using Xero).
    c. Maintain the Federation’s central admin inbox, responding to member and non-member inquiries.
    d. Maintain the Federation’s membership database and CRM.
    e. Assist with preparing reports and documents as needed.
    f. Provide general administrative support, including scheduling meetings, preparing information, and any tasks as directed by The Secretary.
  2. System and IT Efficiency
    Identify and implement IT and tech solutions to improve operational efficiency and meet the needs of a growing membership base.
  3. Member Engagement
    Be a friendly and professional representative of the Federation, engaging with members and the public.

Selection Criteria

Essential:

  • Highly organised, with the ability to manage competing priorities.
  • Strong communication skills (both written and verbal), including emails and reports.
  • Excellent IT skills, proficient in Google Suite (Docs, Sheets, Forms). Database management (Capsule or similar).
  • Demonstrated financial experience using Xero or something similar for financial management and invoicing.
  • Experience managing tasks autonomously and proactively seeking assistance when needed.
  • Immaculate attention to detail.
  • Alignment with the values of co-operatives and social impact organisations.

Desirable:

  • Experience in business administration in an Australian co-operative.
  • Proficiency in using Xero, CRMs, online meeting platforms, and WordPress.
  • Passion for co-operatives or social impact organisations.
