About the role

Sitting within the Programs Division, this position plays a key role in ensuring the smooth administration and delivery of services for two of the Institute’s flagship programs – the 45 and Up Study, Australia’s largest longitudinal study of ageing, and SURE, a highly secure computing environment designed to help make best use of sensitive data and foster collaboration among researchers worldwide on large-scale health research projects.

Working with dedicated professionals, this diverse role will provide essential business and client services support to ensure both the 45 and Up Study and SURE programs are well-promoted, accessible to clients, and operate efficiently. The position is ideal for someone looking to build on their administration experience, with a particular focus on client service and contracts administration within the health sector.

Although no two days will be the same, responsibilities will include:

  • Responding to researchers/clients on issues related to applications, contracting, invoicing and requests for information)
  • Coordinating delivery of the programs including contract administration and management, project tracking, producing reports and providing administrative support to the team
  • Working with the team to continually review and refine processes to ensure improvements are made to the programs
  • Building and maintaining professional relationships with all internal and external stakeholders
  • Taking initiative in following up and pursuing opportunities to engage with clients
  • Maintaining up to date and accurate contract management records
  • Providing assistance and support to the Deputy Director Operations on various projects and reports.

Selection Criteria

We are looking for a proactive and organised person with the following experience and current skill set:

  • Excellent interpersonal skills, verbal and written communication skills and proven ability to work effectively with a diverse range of people including researchers, clinicians and government officers
  • Excellent customer service skills, solutions orientated with a focus on achieving positive outcomes for customers, in a fast-paced operating environment.
  • Experience in contract administration and/or licensing including providing support as to contract negotiations, variation and renewals, and fiscal management
  • Excellent attention to detail and ability to both interpret and communicate complex information from multiple sources
  • Adaptability and flexibility to handle novel and changing conditions, strong problem-solving skills
  • Demonstrated experience in program management and/or coordination, ability to take initiative and to prioritise tasks
  • Excellent (advanced) computer skills, including MS Access and other Microsoft Office programs, databases, and office management systems

Relevant tertiary qualifications and/or experience working in a health program or research environment would be highly regarded.
