The role of the Quality, Risk and Governance Officer is to provide support to the Quality, Risk, Compliance and Clinical Governance Team. This includes ensuring all records and systems are maintained in accordance with VACCHOs policies and supporting VACCHO to demonstrate compliance with accreditation standards (ISO9001:2015 and Rainbow Tick Accreditation). The role will also be an integral part of supporting VACCHO’s organisational culture of continual improvement by actively supporting tasks and actions attached to improvement of systems and processes.

This position will report directly to the Executive Manager, Quality, Risk, Compliance and Clinical Governance. This team sits within the Foundations and Innovations Unit, which provides organisation-wide business support services based on specialists’ knowledge and technology to serve internal and external customers and business partners. The Unit comprises staff focused on covering Finance, Operations / Administration, Quality, Risk & Compliance, Human Resources, Communications, ICT, Shared Business Services and Executive Support.

Key responsibilities include:

  • Auditing Support – Coordinate and support the audit process across VACCHO, with an intention to complete audit training and undertake internal audits.
  • Accreditation Support - Support staff and units across VACCHO to ensure internal processes meet accreditation standards.
  • Quality Management and administration of LOGIQC system - Undertake administration functions within the LOGIQC system to ensure proper quality management and processes in place and implemented effectively across the organisation.
  • Risk and Compliance – support with organisational risk and compliance management, including assisting with the risk register, risk workshops and compliance registers.
  • Reporting - Assist with the management of incident reporting and complaints handling, including OH&S incidents, risks and hazards.
  • Document Control - Support the coordination of document control process through document auditing processes and helping to maintain correct documentation with the QMS registers by ensuring documents are tracked, and files with the correct delegation document manager and owner.
  • Team Coordination – undertake various team support tasks including, managing invoicing processes, overseeing the Quality team inbox and calendar and supporting the Quality team to resolve queries and provide advice as needed.

Knowledge and Experience

  • Experience in administration of a Quality Management system and supporting organisational governance.
  • Sound understanding of the principles of quality management systems and a commitment to quality and continuous improvement
  • Demonstrated capacity to manage sensitive information, maintain confidentiality and always remain impartial.
  • Self-motivated and demonstrated ability to work independently with minimal supervision, and as an effective team member, promoting cooperation and commitment to achieve goals.
  • A flexible approach, with strong organisational and planning skills, including the ability to effectively manage time and workload, prioritise tasks, and meet changing circumstances, competing demands, interruptions, and deadlines.
  • Demonstrated proficiency and experience using Microsoft applications (e.g., Microsoft Word, Excel, Outlook, Project Management) combined with a high level of accuracy and attention to detail.

Desirable

  • Aboriginal and/or Torres Strait Islander peoples are strongly encouraged to apply as your cultural and lived experiences are central to the work we do.
  • Knowledge of quality standards ISO 9001:2015 Quality Management standards
  • Experience in the implementation of a quality management system that supports the needs of the organisation and addresses external legislative and accreditation requirements.

  • Demonstrated knowledge, understanding, and commitment to Aboriginal and/or Torres Strait Islander peoples, cultures, and health.
  • Demonstrated understanding of the philosophy and practice of Aboriginal Community Control.
  • Demonstrated ability to work with Aboriginal peoples, Communities, and organisations, in a culturally safe, and appropriate, manner.
  • Demonstrated understanding of LGBTQIASB+ issues and experience with LGBTQIASB+ people via professional engagement, employment or lived experience.
