The Voiceless Coordinator is a new and key position at Voiceless, the animal protection institute. The Coordinator is responsible for operating Voiceless’s new Grants Program, maintaining our large library of online resources on the Voiceless website and handling communications with our supporters, partners and networks.
The Coordinator is the primary contact for Voiceless’s work, overseeing and executing all areas of operation, including grant giving, website, databases and communication platforms. In 2022, Voiceless is transitioning into a new strategy and organisational model and this role will become the sole staff member of Voiceless, working closely with the Managing Director online and is assisted in Sydney by the Sherman Group team (HR/accounts/legal) based in a busy and social shared office in Paddington.
1. Grants Program Coordination
Create and operate the application and reporting processes for the new Grants Program. This includes researching applicants, preparing applications for assessment, corresponding with applicants and grantees and preparing reports on grants recipients.
2. Website
Update and maintain the Voiceless website. This includes updating information on the website about the Grants Program and maintaining our online library of resources – such as our high school and tertiary educational resources, as well as the Voiceless Animal Cruelty Index and many other materials.
3. Communications and Correspondence
Handle all Voiceless communications and correspondence. This includes day-to-day communications with the public and our supporters via social media and email, as well as the preparation of an Annual Report at the end of each year. It will also involve drafting copy and briefing/liaising with designers to create EDMs to our mailing list.
4. Donor Relations
Engage with donors, and process donation banking. This includes replying to correspondence from donors, updating their payment details, and processing their donations.
5. Relationships
Maintain key relationships with Voiceless VIPs, partner organisations and coalitions.
6. Operations
Maintain Voiceless databases (including Salesforce) and other operational systems. This also includes maintenance and organisation of the Voiceless office.
7. Project Management
Project manage design and web development work with external contractors.
8. Reporting
Prepare reports on the achievements of Voiceless for the Board of Directors, and provide quarterly reports for the Fundraising Management Committee.
9. Record keeping and contracts
Maintain required records as part of the workings of a charitable organisation and oversee contracts with other parties, as needed.
10. Other tasks as required.
