The result of this mindset speaks for itself: due to ongoing growth across the organisation, we have a newly created opportunity for an experienced Executive Assistant to join our team on a permanent full-time basis. Working hours are negotiable between 0.8 to 1.0 FTE for the right candidate.

Previous experience in a similar position is essential, as this is a highly autonomous role, where you will need to demonstrate initiative and excellent time management skills. This position is based at our head office in Footscray with flexible working arrangements available. You must be available to work in the evenings once a month to support Board meetings (blend of virtual and in person).

The role:

Provide high level executive support to the CEO, senior management and the Board, including but not limited to:

  • Project management, conducting research and drafting correspondence on behalf of the CEO
  • Supporting WCIG in meeting accreditation and certification requirements under relevant frameworks and regulations
  • Acting as the first point of contact for the CEO with external stakeholders including government departments, non-government organisations, and other agencies
  • Preparing paperwork for meetings, such as reports, agendas and distributing relevant documentation, as well as taking minutes
  • Managing the Board onboarding, induction and offboarding processes
  • Arranging all travel, catering and facilities requirements for meetings, workshops, functions and business trips
  • Diary, email and correspondence management
  • End-to-end events and planning management
  • Maintaining accurate documentation and filing systems

About you:

  • Certificate IV or above in Business Administration is required
  • Previous experience in a similar role is essential, NFP experience will be highly regarded
  • Excellent communication, organisational, administrative and time management skills
  • High degree of professionalism and judgement with the ability to maintain a high level of confidentiality and appropriately handle sensitive issues
  • A ‘think outside the box’ approach to problem solving
  • Intermediate to advanced proficiency in Microsoft Office and computer programs and systems… We don’t use paper!
