About the position

Walter Eliza Hall Institute is seeking a Project Coordinator to support the Research Data Governance and Management (RDGM) team.

This will include assisting with organising and documenting project meetings, project risks and issues, supporting project activities, organising workshops and events (both face-to-face and virtually) and other tasks, as required. The Project Coordinator will also provide diary support for the Research Data Project Manager and Research Data Management Solutions Manager.

The Project Coordinator will report to the Research Data Project Manager and will assist with day-to-day administration of projects and coordinate project activities. The Project Coordinator will need to operate with a high level of independence in carrying out tasks and will need to interact confidently with a wide range of stakeholders.

The role requires high-level problem-solving skills and judgement in dealing with administrative matters, resolving common operational issues without reference to line management, and effective management of daily workload to ensure deadlines are met. The Project Coordinator will be required to perform tasks of a broad and diverse nature across a range of functions.

Key Responsibilities

  • Assist with day-to-day administration of projects and coordination of project activities
  • Coordinate project meetings (including team meetings, stakeholder and vendor meetings) / events / activities as requested
  • Schedule meetings via Outlook Calendar and invite appropriate attendees
  • Manage use of software and equipment required for virtual and/or hybrid meetings as required.
  • Manage booking of venues, equipment and catering as required
  • Assist in developing agendas and proactively manage attendees to ensure they are appropriately briefed
  • Take minutes and action items for meetings and ensure timely turnaround for review and distribution
  • Facilitate the management of risk, issue, action and change logs including follow-up and status reporting
  • Assist in the production of Project reports in line with project methodologies, templates and structures
  • Administer the configuration of documents in SharePoint to ensure tracking of document status and versions
  • Manage tasks as assigned by the Research Data Project Manager

Selection Criteria

Knowledge and Skills

  • A tertiary qualification with relevant experience, or an equivalent combination of relevant experience and/or education/training
  • Prior experience supporting data management, change, and/or IT projects, with a demonstrable interest in project roles and methodologies
  • Strong documentation, reporting and presentation skills
  • Excellent interpersonal written and verbal communication skills to work with project team members, project stakeholders and vendors at all levels
  • Ability to work independently, within the project team
  • Strong skills in software products, especially, SharePoint, Outlook, Word, Excel and PowerPoint.

Terms of appointment

This position is available for 2 years in a full-time capacity with the possibility for extension. Salary is PSE 6 ($85,395 - $92,435). Up to 17% superannuation and very attractive salary packaging options are available.
