About the opportunity

The Program Support Officer plays a vital role in the day-to-day administration of Homelessness programs, as well as ensuring efficient coordination of the Ringwood site in collaboration with senior management, team leaders, and program senior workers. The successful candidate will be adept at working autonomously, possess excellent communication skills for stakeholder engagement, and foster positive working relationships.

In this role you will:

  • Provide comprehensive support for meetings, including minute-taking and distribution.
  • Collaborate with Facilities and property services for site maintenance, oversight of Uniting vehicles, and archiving activities.
  • Coordinate Emergency Relief gift cards, ensuring timely activation, reordering, and reconciliation in consultation with the Senior Manager.
  • Conduct accurate data entry, maintaining program staff movement records and asset registers.
  • Undertake general administration duties as required.
  • Play a crucial role in financial management, utilizing Excel and SHIP for accurate records of brokerage fund payments and expenditures, including reconciliation activities and COUPA request submissions.
  • Ensure the accuracy and relevance of program information, brokerage pamphlets, and forms, maintaining organized files on all brokerage applications for quality and risk management.
  • Liaise effectively with support workers, senior workers, and team leaders regarding the expenditure of brokerage funds, following established policies.
  • Collaborate with the Senior Manager for weekly expenditure reports, enhancing team coordination.

About you

You will hold a Certificate in Business Administration or at least 3 years’ experience in administration. A certificate IV in Business Administration is highly regarded.

You will also have:

  • Organisational skills with capacity to prioritise work, meet competing demands and timelines
  • Demonstrated administrative experience in an office environment, with experience in word processing, spreadsheet and data base software packages, accounts payable and receivable, and data entry
  • Excellent written and verbal communication skills and sensitivity in dealing with others
  • Experience in a community services organisation (desirable)
