The Wurundjeri Woi-wurrung Cultural Heritage Aboriginal Corporation is a Registered Aboriginal Party (RAP) appointed under the Aboriginal Heritage Act 2006 (Vic.). We represent the Wurundjeri Woi-wurrung Traditional Owners of Melbourne and the Greater Melbourne region, and we take great pride in our responsibility for protecting and managing Aboriginal cultural heritage objects and places on Wurundjeri Country. The Corporation offers a range of cultural services including environmental land management, cross-cultural education, traditional Welcome to Country and Smoking Ceremonies, research, and cultural consultations.

About the role

The Finance Officer (Grants) is responsible for supporting the financial management of all grant and funding agreements by ensuring accurate recording, reporting, and reconciliation of grant revenue and expenditure.

Additionally, the role involves supporting grant applications, acquittals, and assisting in the development of grant budgets. You will contribute to process improvement initiatives, including the implementation of grant management software, and fostering collaborative relationships with stakeholders are integral aspects of this position.

The role is a key member of the finance team and will be responsible for ensuring that all financial information relating to grants is accurate, complete and up to date.

Key Responsibilities

  • Preparation and posting of all monthly journal entries to record grant revenue and expenditure.
  • Preparation of month end reconciliations for all grant and funding accounts.
  • Preparation of monthly reporting on grant revenue and expenditure for program managers.
  • Coordinate the invoicing and receipt of grant funding.
  • Monthly general ledger review of income and expenditure for all grants to ensure correct allocations.
  • Assist with the preparation of grant applications and acquittals, including liaison with external stakeholders and funding partners.
  • Assist in the preparation of annual grant budgets.
  • Assist in the rollout of grant management software, and other process improvement initiatives.
  • Assist in the implementation of new systems as required and help identify process and system improvements and initiatives.
  • Assist in the annual audit process for grant reporting, and other auditing requirements.
  • Assist in the processing of weekly payroll.
  • Support the finance team with other duties as required, including invoicing and data entry.
  • Develop and maintain collaborative working relationships with the Wurundjeri Elders, Wurundjeri staff and other stakeholders as required to perform your role.
  • Advocate for Wurundjeri Woi-wurrung rights and interests as Traditional Owners and act as a role model for the Wurundjeri Corporation in all that you do.
  • In conjunction with your line manager, identify areas for professional development, in line with your career development plan.
  • Always have the wellbeing of self and others as a priority and champion, support, implement and adhere to health and safety policies and procedures.
  • Undertake other duties or responsibilities as requested by your line manager that may be required from time-to-time.

About you

  • Minimum 2-years-experience in a similar role within finance, accounting or grant management.
  • Cert IV or Diploma in accounting or bookkeeping. (essential)
  • Tertiary qualifications in accounting. (desirable)
  • Experience in financial accounting principles, including journal entries, balance sheet reconciliations, and general ledger reviews.
  • Experience in financial administration of grants, including budgeting.
  • Strong problem-solving skills.
  • Experience processing payroll.
  • Strong ability to develop and maintain collaborative relationships with diverse stakeholders.
  • Demonstrated accounting experience for grants, funding agreements and completion of financial acquittals.
  • Strong organisational and time management skills, ability to work to tight deadlines and to prioritise multiple tasks and to work productively with limited supervision.
  • Excellent oral and written communication skills.
  • High level of attention to detail.
  • Intermediate to advanced skills in MYOB or similar accounting systems.
  • Advanced proficiency in using Microsoft 365 Office Suite, particularly Excel.
  • Experience working for a Not-for-Profit organisation would be preferred but is not essential.
  • Prior experience working in an Aboriginal and Torres Strait Islander organisation will be highly regarded.
