About ANROWS

ANROWS is an innovative research organisation that was established as an initiative of Australia’s first National Plan to Reduce Violence against Women and their Children 2022–2032 (the National Plan) by the Commonwealth Government and all state and territory governments of Australia.

ANROWS is a unique research organisation, being one of the only national organisations across the world tasked with building, translating, and disseminating the evidence base on women's and children’s safety to inform policy and practice.

As a registered harm-prevention charity and deductible-gift recipient, ANROWS also runs a research program funded by philanthropic funds (ANROWS Research Fund to Reduce Violence Against Women and their Children) and is periodically contracted by service providers and other Government stakeholders to conduct evaluation and research projects.

About The Position

As the Executive Assistant to the CEO, you will be a key partner in ensuring the CEO’s effectiveness and productivity. You’ll handle a wide range of administrative tasks, manage communication, and provide critical support to the CEO and Board. This role demands exceptional organisational skills, attention to detail, discretion, and the ability to work in a fast-paced environment.

Key Responsibilities

  • Board Management:
    • Provide governance support for the CEO to meet the obligations of running the Board and its committees, including preparation of agendas and minutes.
    • Utilising the BoardEffects program to distribute Board documentation to its members and committees.
    • Assist the Chair and the CEO to ensure Board and member engagement operate smoothly and efficiently.
  • Calendar Management: maintain the CEO’s calendar including meetings, travel and events.
  • Email Management:
    • Maintain the CEO’s emails notifying the CEO of matters requiring the CEO’s attention.
    • Respond to emails on behalf of the CEO.
  • Communication: refer all matters for immediate attention to the appropriate person in the CEO’s absence.
  • Meeting Coordination:
    • Prepare agendas and background briefing documents required for meetings and appointments.
    • Attend meetings with the CEO and prepare meeting minutes and action lists as required.
  • Travel Arrangements:
    • Coordinate and book business travel, prepare itineraries, book venues and accommodation as needed for the CEO.
    • Coordinate booking of flights and accommodation for all Board Members as required.
  • Document Management:
    • Support the reporting and compliance functions of the organization, including coordination of milestone and other reports to funders and reporting for charity regulation
    • Prioritise and ensure that reports and correspondence are dealt with efficiently and promptly.
  • Other duties as required.

Selection Criteria

Essential

  • Proven experience in providing governance support to a Board (or management committee) and CEO including minute taking, drafting agendas and lodging documents with regulators.
  • Demonstrated experience as Executive Assistant or equivalent to a CEO or other senior executive.
  • The ability to ensure the strictest of confidentiality is adhered to in all matters pertaining to the Office of the CEO.
  • Well-developed written and verbal communication and sound interpersonal and public relations skills.
  • Demonstrated time management skills, including the ability to prioritise and manage multiple tasks and meet deadlines.
  • Demonstrated attention to detail including in the preparation of correspondence and agendas; and arranging appointments.
  • Ability to work independently with minimal direction and to work harmoniously in a team environment.
  • Excellent computer skills with advanced knowledge of Microsoft Office applications.

Desirable

  • Tertiary qualifications (e.g. relevant administrative/business studies).
  • Understanding of gender-based violence.
  • Understanding of not-for-profit operating environments.
  • Understanding of public policy.
  • Previous experience with BoardEffects.

Further information

Salary range: $95,000 to $105,000 per annum plus Superannuation dependent on skills & experience.

This position is a 12 month contract with the possibility of extension.
