Executive Assistant to the COO

The Executive Assistant provides quality executive, administrative and secretarial support to the Chief Operating Officer and wider Customers & Communities Team. The role coordinates operations and procedures in order to ensure organisational effectiveness and efficiency as well as supports the delivery of key projects for the organisation.

As the EA, you’ll also be responsible for:

  • executive, administrative and secretarial support including minute taking and diary management
  • project coordination including scheduling, assisting with the preparation of project documents, project reporting, collecting data and basic data analysis
  • coordinating travel arrangements, conference and event registration
  • Board Reporting including coordinating content and proof reading
  • drafting correspondence and communications including reports, presentations and briefing notes
  • reconciliation of credit card and other expenses and processing of purchase orders
  • building strong relationships with vendors, service providers and building management
  • supporting the Office Manager with tasks related to WHS and the office environment as needed

Who are we looking for?

  • You have a passion for quality customer service and a problem solving attitude
  • You have experience in coordinating agendas and interests of diverse stakeholders toward a common goal or project
  • You have a good knowledge or interest in housing, homelessness or other social services
  • You have a high attention to detail with strong technical skills (strong proficiency in Microsoft Office necessary)
  • You work well towards time-orientated deadlines while keeping a high degree of discretion, integrity and confidentiality

It's recommended that our EA have a current and valid drivers license. They also need to be willing to obtain a Criminal Record Check.
