Nature of the Role

Reporting to the Business Manager, this position is responsible for the administration services which includes answering incoming telephone calls, service navigation, scheduling appointments and providing corporate support to staff in a positive, efficient and timely manner. This is an onsite role required at the Caroline Springs with occasion to work at the Essendon office.

Key to this role is the provision of an efficient and professional service in a busy environment, and requires strong collaboration with managers, community engagement officer and team leaders.

Accountabilities

The main areas of accountability include:

  • Intake phone calls, including triage to appropriate referrals – both internally as well as connecting enquiries where applicable to external community services.
  • Office support for leadership team across Essendon and Caroline Springs.
  • Assist with service navigation for enquiries seeking material aid and other supports.
  • Undertake client follow up survey, including collating data for reporting purposes.
  • Keep up to date knowledge of services across the 5 LGAs where the Society provides services.
  • Undertake brief consults with clients in determining appropriate service connection including material aid enquiries.
  • Corporate and office cover off including ensuring offices are stocked with supplies and assistance with fleet and property management matters.
  • Oversight for material aid deliveries on donation day at the Caroline Springs site.
