About the job

Reporting to the Engagement Lead, this role is important to the work of the engagement team.

The Engagement Program Officer supports the operations of several key engagement forums as well as our Clinical and Community Councils, Clinical Leaders Network and Member Chairs meetings. This role specifically organises and provides high quality secretariat duties to CESPHN’s councils and other governing committees.

This role also supports CESPHN representatives on hospital clinical councils providing them with information and ensuring issues they identify are reported. The role will also support the Engagement Lead with strengthening our engagement activity and building relationships with external stakeholders, such as community organisations, local government, consumer, GP and allied health peak bodies.

Key responsibilities

  • Undertake high quality organisational and secretarial tasks which include:
    • Liaising with stakeholders, scheduling in-person and online events, minute-taking and organising catering
    • Processing invoices, maintaining spreadsheets and other tracking documents
    • Running meetings and taking minutes
    • Maintaining Salesforce database of our stakeholders

Selection criteria – essential

  • Experienced in secretariat duties and project planning.
  • Advanced skills in Microsoft Office based computing applications, e.g. Excel, Word, Outlook, Teams, SharePoint etc.
  • Proven high level written, verbal and electronic communication skills, with an ability to successfully manage communications across multiple channels.
  • Sound organisational skills and the ability to work under pressure and achieve outcomes.
  • Experience in relationship building and management among stakeholders from diverse cultures, professions, etc.
  • Experience in organising and running meetings and minute taking skills with ability to analyse key issues.

Selection criteria - desirable

  • An understanding of PHNs and the primary health care environment.
  • Experience using Salesforce.
