The Gelganyem Group (Gelganyem) represents the Traditional Owners of the barramundi dreaming (a land area running from Kununurra down to and including the Argyle Diamond Mine) and manages their interests under the Argyle Participation Agreement.
Gelganyem comprises Gelganyem Limited and Gelganyem Investments Pty Ltd, both of which are registered NFP and ACNC-registered charitable organisations, as well as Gelganyem Trust. Gelganyem also operates two successful businesses: Gooring Jimbila Contracting (a civil construction company) and the Gelganyem Seed Operation (a seed collection, propagation, and planting business).
Using the provisions of the Argyle Participation Agreement, as well as its own commercial operations, Gelganyem’s mission is to improve the social, economic, and cultural wellbeing of Traditional Owners.
The representative nature of the Gelganyem Group is shaped by a traditional cultural structure, with Traditional Owners of each dawang/daam (traditional land or estate group) participating at all governance levels. Traditional Owners comprise predominantly Miriwoong and Gija people from seven identified estate groups.
Purpose
Under the direction of the CEO, the Corporate Services Manager will coordinate and manage the day-to-day running of the Gelganyem Group, including the performance of the human resource function. This is a senior position with a salary reflecting a high level of experience in operations and administration and an ability to problem-solve.
The Corporate Services Manager will work closely with the Executive Team to ensure the operation runs smoothly in order to allow the strategic objectives of the Board to be met. It is anticipated that the key responsibilities of the Corporate Services Manager will be to provide general administrative and operational leadership support to the Gelganyem Executive and Board, including managing the engagement of required external services. These would include assisting with HR, bookkeeping, IT, insurance, communications, policies and procedures, transport logistics, and other essential administrative functions.
Roles and responsibilities
General
- Provide high-level support to the CEO and Executive Team in managing the operational functions of Gelganyem.
- Ensure that effective working relationships are established and maintained with external stakeholders and that Gelganyem is represented to these stakeholders in a professional and competent manner.
- Provide high-level and confidential secretarial and personal administrative support to senior staff, including diary management, coordinating, and arranging meetings and appointments and managing and supporting day-to-day activities.
- Work closely with the Executive Team to enhance the effective and efficient operation of the Gelganyem Group.
- Other duties as directed by the CEO.
Human Resources
- Advise and work closely with direct managers on all staff issues including performance management and monitoring, evaluations, promotions, and contracts.
- Advertise staff vacancies, assess applications, coordinate, and prepare for interviews, prepare reports and make recommendations to management about staff appointments.
- Complete inductions with new employees.
- Maintain the personal records of employees.
- Coordinate the performance evaluation cycle.
- Oversee and handle complaint letters.
- Support the CEO and Executive Team with negotiations involving training and employment matters.
- Facilitate the new Employee Assistance Programme.
- Responsible for occupational health and safety at Gelganyem.
- Facilitate and support improved HR operational policy and practice through developing and implementing best practice HR approaches across the organisation.
Secretariat
- Working closely with the Executive Officer, provide logistical and operational support for all Gelganyem entities, including arranging and coordinating relevant directors’ and members’ diaries, distributing Board papers, ensuring all facilities and equipment required are arranged in collaboration with relevant staff, organise catering, and transport for meetings.
- Liaise with key Gelganyem Group stakeholders including community members, Rio Tinto, Members of Parliaments and their offices, directors, partner organisations, Government Departments, directors and internal staff to arrange meetings, coordinate events and progress outcomes sought by Gelganyem.
Administrative Support
- Maintain the corporate services electronic filing system and assist with other administrative tasks where appropriate.
- Administer Gelganyem computer systems and liaise with I.T. consultants for all of Gelganyem’s electronic requirements, including internet use, e-mails, software and hardware needs.
- Arrange and maintain annual insurance for all Gelganyem entities and assets. Liaise with insurance brokers and facilitate provider market reviews where appropriate.
- Day-to-day management of all properties of the Gelganyem Group and its related entities, including liaison with third party property managers.
- Prepare, maintain and update the Gelganyem policies and procedures.
- Potentially manage administrative staff.
- In collaboration with the CEO, perform a human resource function including maintenance and update of confidential human resources data (both paper files and electronically), completion of employment contracts, adherence to salary sacrifice arrangements and ongoing calculation of employees’ leave entitlements.
Governance
- In consultation with the CEO, provide support to the Executive Officer where required to ensure compliance with ORIC and ASIC reporting requirements i.e. notification of changes, yearly general reports etc.
- Assist the Executive Team with annual auditing requirements.
- Assist the Executive Team broadly with quarterly Board meeting planning and logistics.
Finance
- Liaison with internal finance team, or third-party finance team, as the case may be, to ensure all Gelganyem finance requirements are met.
- Liaison with banks of Gelganyem and relationship managers.
- Deal with annual auditing requirements.
- Collect all payroll information including leave forms, timesheets and salary sacrifice arrangements. Prepare payroll spreadsheet for Gelganyem finance team.
- Liaise with Gelganyem finance team to ensure payroll is effectively administered, salary sacrifice arrangements are adhered to and all finance obligations are met.
- Raise purchase orders and invoices as requested from time to time.
- High level management of asset register of Gelganyem.

- Demonstrated ability to successfully utilise the Microsoft Office range (Word, Excel, Access, PowerPoint and Publisher) of programs to achieve the administration functions of this position.
- An effective communicator with an ability to create strong relationships within a multi-cultural environment with both internal and external stakeholders.
- Understanding of human resource practices and the ability to implement them.
Key selection criteria: desirable
- Demonstrated experience with bookkeeping or similar financial management.
- Applicants with experience working successfully with Aboriginal people will be highly regarded.
