About the Older Women's Network NSW
The Older Women’s Network NSW is a not-for-profit organisation that seeks to connect older women in the community by providing classes and other activities, as well as undertaking research and advocacy for the rights of older women. Established in 1985, the Network coordinates a base of 20 member groups and affiliates across NSW.
About the position
We are recruiting an Office Coordinator for 35 hours per week to take responsibility for the daily office administration of OWN NSW. The role will be offered initially as a 2-year contract, with a high probability of renewal by mutual agreement and subject to the renewal of OWN NSW's funding. The role will be paid under the Social, Community, Home Care and Disability Services Industry (SCHADS) Award, Level 3 plus superannuation guarantee in line with current legislation.
We are seeking an organised and proactive individual to join our team at our Newtown premises. This role is integral to the smooth operation of our office and community engagement efforts. Key responsibilities include:
- Engaging with Visitors and Callers: Providing friendly and efficient assistance to drop-in visitors and online enquiries, together with the Office Admin Assistant and Newtown Wellness Centre Coordinator
- Coordinating Daily Operations: Overseeing day-to-day office activities, including liaising with maintenance personnel for our City of Sydney-owned premises
- Information Distribution: Supporting the development of promotional materials such as flyers, newsletters, and publications, and managing the distribution of our fortnightly e-newsletter under the direction of the CEO
- Communications and Stakeholder Engagement: Managing emails and coordinating with external organisations across government, not-for-profit, and private sectors to facilitate events and collaborations
- Database and Record Management: Ensuring the accuracy and upkeep of the organisation's databases
- Financial Administration: Handling basic financial tasks, including record keeping, and petty cash management while liaising with accountants for financial oversight
- Contractor and Service Liaison: Coordinating with cleaning contractors and other professional service providers
- Event Coordination: Assisting the team in organising and delivering impactful events

The Suitable candidate will be highly competent in the following
- Strong Communication Skills: Excellent interpersonal abilities, including patience, approachability, and a willingness to assist others. The role also requires proficiency in writing clear, professional emails and letters, as well as contributing to the production of OWN’s fortnightly newsletter
- Digital Proficiency: Confidence in using email, internet-based platforms, and managing online subscriptions
- Microsoft Office Skills: Competency in Microsoft Word and other relevant applications
- Financial Responsibility: A high level of trustworthiness with the ability to accurately manage petty cash, track small cash transactions, and reconcile receipts with expenditures
- Organisational and Prioritisation Skills: A mature and composed approach to balancing multiple tasks efficiently in a dynamic environment
Additional experience with overseeing grant processes would be very highly regarded.
The Office Coordinator will manage the Office Admin Assistant.
The Office Coordinator will report to the CEO of OWN NSW.
