About the role
The Office Manager reports to the Finance and Corporate Services Manager. This position will supervise the workflows of the Administration Officers and also works as part of a small team where interdependencies and collaboration with the management team, colleagues, QDN members, and internal and external stakeholders is critical to the successful delivery of projects, services, and activities. The Office Manager will be responsible for the operations of the QDN office and for assisting the Finance & Corporate Services Manager.
The role requires a high level of attention to detail, an ability to predict needs and respond with actions. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organisational skills, and the ability to maintain a realistic balance among competing priorities.
The appointee will work within the frameworks of relevant legislation including the Queensland Human Rights Act2019, and QDN’s Quality System, demonstrate commitment to continuous improvement, and contribute to internal and external auditing processes as required under ISO 9001.
What will you bring to the role
- General office management experience ideally developed within a community, membership or non-profit organisation and the capability to undertake a broad range of duties.
- A high level of self-direction and bring a good understanding of the administrative processes, policies and procedures required for supporting a non-profit organisation, including employment, workplace safety and funder reporting.
- Excellent organisation skills and adaptability to manage competing priorities
- Empathy for the not-for-profit sector, with a patient and adaptable management style.
- Strong knowledge of human resource practices, employment laws, and regulations.
- Excellent communication and interpersonal skills, with the ability to work collaboratively with diverse stakeholders.
- Effective engagements skills across a broad range of consumer, community and government stakeholders; with engagement experience in the disability, housing or human services areas that enable you to build relationships and communicate with influence
- Experience working with Microsoft 365 and other software applications
- The ability to comply with relevant State and Commonwealth legislation and frameworks including Work Health and Safety requirements, QDN’s processes, NDIS Quality and Safeguards and Queensland Human Rights Act.

What will you do in the role?
- Manage office related activities across facilities, office technology, equipment and liase with IT Systems support provider.
- Oversee range of administration tasks and workflows including supervision and management of Administration officers, QDN email boxes.
- Coordination of contract execution, submission, filing and corporate service processes.
- Assist event planning and project staff with range of activities related to QDN events including travel arrangements, venues, delivery of events and be contact point for coordination with external travel company and QDN travel and accommodation needs.
- Coordinate the HR and staff recruitment processes including positions on employment platforms, management of applications, interview scheduling, new employee induction to meet organisational requirements, onboarding including documentation.
- Maintain all relevant HR records as required by QDN policy
- Oversee the issuing and completion of all onboarding documentation.
- Oversee completion of documentation when employee’s terminate employment.
- Maintain all relevant HR records as required by QDN policy.
- Act as a back-up for fortnightly payroll processing when Finance Officer is absent.
- Relationship management and engagement with key stakeholders and allies including QDN members, people with disability, government, and community organisations to deliver a high level of customer service and project outcomes. This role will also act as initial point of contact for enquiries concerning QDN membership including membership intake into the CRM.
- Work independently on tasks, from conception to completion, and work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
- Successfully engage and manage relationships with key stakeholders and allies, including QDN members, where required.
- Assist Finance and Corporate Services Manager with QDN’s Quality Management System.
- Other duties as directed by your line manager.

Key Job Requirements
Relevant business administration or human resource tertiary qualifications (or demonstrated equivalent experience) and/or relevant experience in the areas of disability, human services and/or policy experience would be highly desirable.
