Women’s Community Shelters (WCS) has changed the conversation on women’s homelessness and domestic and family violence in NSW. Our work encompasses education and prevention; early intervention; crisis and transitional accommodation; outreach support and recovery; and advocacy. We are looking for a dynamic and talented Operations Coordinator to join our vibrant and efficient team at WCS Hub in Surry Hills.

This role, reporting to the Director of Business Operations and Performance (DBO&P), is integral to enhancing WCS Hub employee productivity, fostering a positive WCS culture, identifying business improvement opportunities, maintaining Information Technology (IT) assets and systems, and managing key administrative projects.

  • Location: Surry Hills, Sydney (next to Central Station)
  • Work type: Full-Time (preferred), or part-time for right candidate (with work from home flexibility)
  • Reporting to: Director of Business Operations & Performance
  • Salary type: Social, Community, Home Care and Disability Services Industry Award 2010 (SCHADS) Social and Community Services Employee Level 4, Pay Point 1. With attractive NFP salary packaging benefits

Role purpose

This is a diverse role based in our vibrant WCS Hub office, Surry Hills working with and supporting 20 plus Hub based employees. Key responsibilities include:

  • day-to-day administrative management of the office.
  • enabling WCS Hub employee productivity.
  • building and driving the WCS culture by actively living WCS values.
  • identifying and driving small business improvement initiatives at the WCS Hub to streamline processes and improve operational efficiency.
  • managing and delivering key administrative projects, such as SharePoint restructure and review of our intranet system.
  • providing secretarial and administrative support to the Executive team.
  • maintenance and strengthening of IT systems.
  • procuring assets and maintaining asset registers.

Skills and experience required

  • demonstrated project management experience, with the ability to keep project deliverables organised, on time and within budget.
  • proven prior ability to liaise effectively with a range of people, including clients, staff, community members, VIPs, the public and other organisations.
  • strong computer skills including expertise in MS Office, email, word press websites and social media platforms.
  • excellent organisational and administrative skills.
  • strong verbal and written communication skills, with the ability to demonstrate genuine empathy and compassion and openness to providing and receiving constructive feedback.
  • prior secretariat or minute taking experience.
  • thorough understanding of office administration and ability to exercise judgment and/or contribute critical knowledge and skills where procedures are not clearly defined.
  • ability to contribute to interpretation and administration of areas of work for which there are no clearly established procedures.
  • proven ability to produce professional business correspondence.
  • sound interpersonal skills and proven ability to appreciate, respect and be sensitive towards cultural and social diversity.
  • effective time management skills and ability to work autonomously.
  • current recognised first aid qualification (such as a certificate from the St John Ambulance or similar body).
  • flexibility to attend after-hours and weekend fundraising and WCS Hub and WCS Network events when required.
  • current unrestricted Australian drivers’ license.
  • an interest in or prior experience in data and reporting would be a plus.
