Objectives of the Position:

  • Ensure efficient administration and delivery of assigned projects, meeting all deadlines and objectives.
  • Enhance communication strategies to promote the organization’s mission and programs effectively.
  • Support fundraising initiatives and maintain accurate records of donor interactions.
  • Collaborate with staff to produce and update educational content that aligns with the organisation’s mission and meets the needs of service recipients.

Team:

The role will be part of a dedicated and passionate team at The Zahra Foundation. Reporting to the Head of Business Services, you will work closely with the Business Services, program, and admin teams. Our collaborative environment encourages teamwork and new ideas to help us achieve our mission. The team is committed to creating a supportive and inclusive culture, empowering staff to make a meaningful impact on the lives of survivors of domestic abuse.

Key Accountabilities:

Project Delivery:

  • Manage and deliver assigned projects on time and within scope, ensuring all objectives and deadlines are met.
  • Utilise project management applications, such as Monday, to ensure timely assignment of tasks and activities for executing multiple projects across the Foundation.
  • Develop detailed project plans in project management apps like Monday.
  • Oversee the management of projects across multiple areas in support of the executive team.
  • Provide regular updates on project status to the Head of Business Services and other stakeholders.

Digital Marketing, Communication, and Impact:

  • Implement Digital Marketing Strategies:

    • Create comprehensive digital marketing plans to achieve organisational goals.
    • Coordinate and execute campaigns across various digital channels (e.g., social media, email, search engines).
  • Content Creation and Management:

    • Produce and curate engaging content for social media, email newsletters, and blog posts.
    • Manage a content calendar to ensure timely and consistent communication.
  • Social Media Management:

    • Monitor and manage social media accounts, including posting, responding to comments, and engaging with followers.
    • Analyze social media metrics to optimize engagement and reach.
  • SEO and SEM:

    • Conduct keyword research to optimize website content for search engines.
    • Manage paid search campaigns (Google Ads, Bing Ads) to drive traffic and conversions.
  • Email Marketing:

    • Design and send regular email newsletters to subscribers.
    • Track and analyse email campaign performance to improve open and click-through rates.
  • Analytics and Reporting:

    • Use tools like Google Analytics to track website and campaign performance.
    • Prepare regular reports to evaluate the effectiveness of digital marketing efforts.

Website Management:

  • Website Content Management:

    • Update and maintain website content using a content management system (e.g., Sqaure).
    • Ensure all content is accurate, up-to-date, and aligned with brand guidelines.
  • Website Optimization:

    • Conduct regular audits to identify and fix technical issues (broken links, loading speed, mobile responsiveness).
    • Implement SEO best practices to improve search engine rankings.
  • User Experience (UX) Improvement:

    • Design and implement enhancements to improve website navigation and user experience.
    • Conduct user testing and gather feedback to inform website improvements.
  • Security and Maintenance:

    • Integrate the website with other digital tools and platforms (e.g., CRM, social media).
    • Ensure seamless data flow between the website and other systems.
  • Performance Monitoring:

    • Use analytics tools to monitor website traffic, user behaviour, and conversion rates.
    • Implement changes based on data insights to improve website performance.

Fundraising Support:

  • Execute fundraising initiatives and campaigns to meet financial targets.
  • Maintain accurate records of donations and donor interactions in the organization’s database.
  • Assist in preparing grant applications and reports for funders, ensuring timely submission.

Content Development and Publishing:

  • Collaborate with program staff to create and update educational materials, brochures, handouts, and online resources.
  • Ensure all content aligns with the organization’s mission and meets the needs of service recipients.
  • Use graphic design software (e.g., Canva) for creating visually appealing marketing and educational materials.

External Communications:

  • Implement external communication strategies to promote the organisation’s mission and programs.
  • Update the website and email newsletters with consistent and engaging content.
  • Draft press releases, articles, and other public relations materials to increase visibility and awareness.
  • Monitor media coverage and manage media inquiries, fostering positive relationships with journalists and influencers.

Administrative Support:

  • Assist with various administrative tasks to support the smooth operation of the organisation.
  • Develop and maintain project documentation and records.
  • Coordinate with different departments to ensure project objectives are achieved.
  • Manage the Opportunity Knox program, including budget, applications, approvals, and distribution of grants.

  • Project Management:

Qualifications:

Education:

  • Bachelor’s degree in Marketing, Communications, Business Administration, or a related field desirable.

Certifications (desirable):

  • Certifications in project management (e.g., PMP), digital marketing, SEO, SEM, or related areas are preferred (e.g., Google Analytics, Google Ads, HubSpot).

Work History:

  • Minimum of 3-5 years of relevant experience in project management, digital marketing, website management, fundraising support, and content development.
