Key Stakeholders

Internal team members, contractors - Financial Advisor (contractor), Bookkeeper (contractor), FCA Political and Media Advisor/s (contractor), partners, philanthropic and allied organisations, FCA board,farmers, other climate change and agriculture professionals, and occasionally political staffers.

Position Purpose

The Business & Operations Officer at Farmers for Climate Action (FCA) will play a crucial role in ensuring the smooth day-to-day operations and providing administrative support across multiple areas of the organisation. Reporting to the Business Impact Director, this position will focus on administrative duties related to governance, HR processes, reporting, grants, website management, and social media support. The role will also develop organisational templates, develop board papers, and update internal processes and procedures. This role will be key to keeping FCA on track with internal operations and supporting our long-term strategic goals.

Role Accountabilities

Administrative Support:

  • Manage daily administrative tasks, including scheduling, document management, staff onboarding and communications.
  • Administer HR processes, including maintaining staff leave records, assisting with onboarding, and supporting staff compliance with FCA policies.
  • Scheduling and arranging staff or stakeholder travel and accommodation
  • Manage staff diaries to ensure no conflicts and to prioritise wellbeing and focus time
  • Maintain and update organisational processes and procedures to ensure alignment with FCA’s goals.
  • Prepare and manage board and committee papers, coordinating input from the BID and CEO, and the timely delivery of materials.
  • Assist in the preparation of internal and external reports, including regular updates to the FCA leadership team.
  • Assist in preparing documentation for the Annual General Meeting (AGM) and the Annual Report.
  • Work closely with the Business Impact Director to ensure FCA meets its legal, financial, and compliance obligations.

Project Support and Reporting:

  • Provide administrative support for grant applications and reporting, including gathering necessary documentation, tracking deadlines, and supporting project management efforts.
  • Develop and update project plans, templates, and other documentation as needed for FCA campaigns and projects.

Operational Support:

  • Establish and/or maintain FCA’s internal templates and systems, ensuring they are kept up to date and easily accessible to staff.
  • Support operational projects, including tracking organisational initiatives and monitoring progress against the strategic plan.

Team Collaboration and Communication:

  • Act as a key point of contact for internal communications, ensuring clear and timely sharing of updates and information.
  • Coordinate the logistics of initiatives such as staff planning days, professional development opportunities, board planning days and other team events to foster a positive organisational culture.
  • Support internal coordination between teams, especially related to FCA’s engagement with external stakeholders, contractors, and partners.
  • Other tasks as required.

About You

Required competencies and attributes:

  • Demonstrated administrative and organisational skills, with attention to detail and the ability to manage multiple tasks and priorities.
  • Proficiency in the use of digital tools such as Google Suite, CRM (NationBuilder), and project management software (Monday).
  • Strong communication skills, both written and verbal, with the ability to interact professionally with internal and external stakeholders.
  • Basic understanding of HR and charity governance processes
  • An interest in or connection to agriculture and/or addressing climate change.

Desirable Skills:

  • Experience with social media management and website maintenance, ideally using platforms such as WordPress and social media scheduling tools.
  • Previous experience supporting governance, financial management, or compliance in a not-for-profit or small organisation.
  • Familiarity with grant writing or project support.

Work Experience:

  • Minimum 1-2 years of experience in an administrative, operations, or business support role, preferably within a not-for-profit or environmental organisation. Relevant qualifications in business administration, corporate governance, management, or a related field (desirable but not essential).

Knowledge:

  • Ability to use, or learn to use, Monday project management software, CRM software (Nationbuilder), Google suite, Slack, Canva, Social media and Wordpress.
  • Understanding of and experience with charity operations, compliance and governance.
