Endometriosis Australia is a nationally accredited charity committed to raising awareness, funding research, and educating the public about endometriosis. Established in 2012, Endometriosis Australia has emerged as a peak body in advocating for education, research and fundraising. Our goal is to improve the understanding and awareness of endometriosis to help those affected by the disease.
Position Overview
The Office Manager will be the backbone of Endometriosis Australia’s daily operations, ensuring that the organisation runs smoothly and efficiently. This role involves managing administrative tasks, supporting the team with logistical needs, and maintaining a positive and organised work environment. The ideal candidate is an organised, proactive, and resourceful person with a strong ability to manage multiple tasks and work in a dynamic environment.
Key Responsibilities
Office Administration:
- Oversee day-to-day office operations, including managing office supplies, equipment, and facilities.
- Coordinate and manage office communications, including emails across various inboxes, mail distribution and online meetings or phone calls as required
- Maintain organised records and filing systems, both electronic and physical.
- Support the GM with diary management and preparing operational processes.
Volunteer and Ambassador Management:
- Coordinate the recruitment, training, and scheduling of volunteers, ensuring they are effectively integrated into organisational activities and feel valued for their contributions. Provide ongoing support and communication.
- Support the General Manager in the recruitment, training and coordination of ambassadors, ensuring they are well prepared to represent Endometriosis Australia’s mission and values. Maintain regular communication, provide support, and facilitate their involvement in campaigns, events and public engagements to maximise impact.
Team Support:
- Provide administrative support to the General Manager, including calendar management, meeting coordination, and travel arrangements.
- Assist in preparing reports, presentations, and other documents as needed.
- Manage confidential information with discretion and professionalism.
HR & Team Coordination:
- Support HR functions, including onboarding new staff, maintaining employee contact records, and coordinating staff training and development.
- Assist with organising team meetings, events, and team-building activities as required. Serve as a point of contact for staff inquiries and ensure a positive work environment.
Finance & Budgeting:
- Assist with basic financial tasks, including processing invoices, managing petty cash, and coordinating with the finance team on budgeting and expense tracking.
- Monitor and manage office-related budgets and expenses, ensuring cost-effective operations.
Facilities & IT Management:
- Oversee office maintenance, including liaising with property managers and service providers.
- Coordinate IT support for staff, managing software licenses, hardware, and troubleshooting basic technical issues in collaboration with IT Supplier.
- Ensure the office environment is safe, functional, and compliant with health and safety regulations.
Event & Meeting Coordination:
- Organise and coordinate meetings, workshops, and events, including logistics, scheduling, and catering.
- Manage virtual meeting platforms and ensure seamless execution of online meetings and webinars.
- Assist with special projects and events as needed, providing logistical and administrative support.
- Board & Stakeholder Support:
- Coordinate and support board meetings, including preparing agendas, distributing materials.
- Maintain effective communication with board members and key stakeholders as required.
Qualifications
- Proven experience in office management, administration, or a similar role.
- Strong organisational and multitasking skills, with excellent attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office management software.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Strong problem-solving skills and the ability to work independently.
- Experience in a nonprofit organisation
- Commitment to the mission of Endometriosis Australia and a passion for women’s health.
Desirable:
- Experience supporting senior executives or boards.
- Basic knowledge of finance and budgeting.
- Familiarity with HR processes and systems.
- Experience with CRM e.g. hubspot or salesforce, virtual meeting platforms and IT troubleshooting.
